The Program Assistant will provide administrative and mission support for the department and will report directly to the Office Manager. Duties and responsibilities include, but are not limited to, administrative assistance and will support several departments. The Program Assistant will be responsible for scheduling and calendar management, correspondence, record keeping and filing, data entry and database management, office supply management, reception and main office desk duties, travel arrangement, financial administration, event planning and coordination, document preparation and management, and admissions support. This role requires excellent customer service skills and professionalism and will support Student Services, Faculty, and Administrators.
MINIMUM QUALIFICATIONS: EDUCATION, CERTIFICATION, AND/OR LICENSURE: 1. High school diploma or equivalent EXPERIENCE: 1. Two (2) year's experience in an administrative or program support role, preferably in an educational or healthcare setting PREFERRED QUALIFICATIONS: EDUCATION, CERTIFICATION, AND/OR LICENSURE: 1. Associate or bachelor's degree in a related field EXPERIENCE: 1. Four (4) years of previous experience in an administrative or program support role, preferably in an educational or healthcare setting CORE DUTIES AND RESPONSIBILITIES: The statements described here are intended to describe the general nature of work being performed by people assigned to this position. Provide comprehensive administrative support to the Office Manager and other departments, such as Student Services, including scheduling meetings, managing calendars, and preparing documents 2. Assist in the coordination of educational programs, workshops, and events, including logistics, registration, communication with participants, and material preparation. 3. Serve as a point of contact for students, answering inquiries, providing information about programs, and offering support throughout their educational journey. 4. Maintain accurate records and databases related to program participants, courses, and events. Assist in the collection and analysis of data for reporting purposes. 5. Draft and distribute communications, such as newsletters, announcements, and promotional materials, to students, faculty, and stakeholders. 6. Support daily office operations, including managing supplies, equipment, and facilities. Ensure the office environment is organized and professional. 7. Assist with budget tracking, expense reporting, and invoice creation and processing. Work with the Office Manager to ensure financial procedures are followed. 8. Collaborate with faculty, staff, administrators and external partners to support program delivery and continuous improvement initiatives. 9. Manage multiple work assignments to ensure pre-established deadlines are met. 10. Assist Student Services with Admissions. 11. Assist Administrators with projects. 12. Provide professional customer service representation for the organization and maintain a professional environment, including confidentiality, through all actions and communications. 13. Answer departmental phones, screen calls, and communicate messages. 14. Work effectively, respectfully, and appropriately as a member of the team, respecting peers, and leadership. 15. Foster a positive and inclusive learning environment. 16. Performs all other duties as assigned contributing positively and fairly to all processes.
