DESCRIPTION/JOB SUMMARY
To efficiently assist the Chairman & Chief Executive Officer (CEO) with managing emails, meeting itineraries, calendars, phone calls, correspondence, and travel arrangements for business and personal matters RESPONSIBILITIES/DUTIES *Assist with managing, organizing, and prioritizing emails, virtual and in-person meetings, schedules, reports, and deadlines *Prepare emails, memos, and letters as communicated by CEO verbally and/or in writing *Handle incoming and outgoing phone calls in a professional and confidential manner *Assist with planning CEO business and personal activities including running errands *Serve as a liaison and work cross-functionally and collaboratively with the Senior Leadership Team members throughout the organization *Collaborate with Pride's Travel Coordinator and Pride Aviation's Pilot in Charge (PIC) to organize travel plans by booking Pride Aviation private flights, commercial flights, and reservations for rental cars, hotels, and restaurants for CEO and guests *Collaborate with Pride's Travel Coordinator and Pride Aviation's Pilot in Charge (PIC) to provide multiple cost effective and relevant options for rental cars, hotels, restaurants, and Fixed Base Operators (FBO's) for private flights *Collaborate with Pride's Travel Coordinator and Pride Aviation's Pilot in Charge (PIC) with coordinating Pride Aviation private airplane activities including maintaining flight schedules, usage reports, and pilot payments, collaborating with the pilots, and communicating maintenance schedules *Ensure all safety and security rules are strictly observed and any accidents, incidents or injuries are promptly reported to management *Complete the annual CTPAT Security Training *Focus on continuous improvement, and consistently demonstrate good business judgment *Work effectively with all Pride departments to exceed internal and external expectations *Pride retains the discretion to modify duties and/or assign other duties as necessary REQUIRED SKILLS *Must be a self-starter, friendly team player, professional, detail-oriented, confidential, and honest Must have the ability to: *Multi-task, problem-solve, adhere to tight deadlines, and prioritize in a fast-paced working environment *Be flexible with working hours based upon business needs Must have: *Relentless drive to achieve advancement and continuous improvement *Excellent organizational and planning skills *Excellent and precise verbal and written communication skills *Excellent telephone etiquette skills *Excellent personal presence and professional appearance *Basic working knowledge of Microsoft Office Word, Excel, and PowerPoint *Excellent web navigation skills REQUIRED EXPERIENCE *At least 3 years of experience providing administrative support to management with an emphasis on organizing travel plans and managing a high volume of emails, meeting itineraries, calendars, phone calls, and correspondence PREFERRED EXPERIENCE *At least 1 year of experience providing advanced support to executive leadership preferred *At least 1 year of travel planning experience including but not limited to coordinating hotel and restaurant reservations, flights and activities preferred REQUIRED EDUCATION *High School Diploma or GED PREFERRED EDUCATION *Associate Degree in Business preferred DETAILS *This job description is not intended to be all-inclusive *In exceptional circumstances, some of the physical requirements of this position may be modified or eliminated as a reasonable accommodation for a person with a disability as defined by the Americans with Disabilities Act Pride Mobility Products/Quantum Rehab is an Equal Opportunity/Affirmative Action employer.
