SUMMARY
Provides administrative support for the office and Purchasing Department. Position requires proven administrative and computer skills with a high level of accuracy and attention to detail. Successful candidate will demonstrate initiative, problem solving and multitasking skills.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Additional duties may be assigned.
- Provides administrative and clerical duties, including faxing, scanning, processing daily mail, correspondence, word processing and excel spreadsheets.
- Answers phones, forwards calls, records messages and provides follow up, as needed.
- Prepares and issues purchase orders.
- Assists with making purchases as needed.
- Works with others to maintain and inventory supplies.
- Assists with receiving purchased goods and arranges for shipping of items to remote sites, projects and yards.
- Assists with transporting/delivering goods to/from jobsites.
- Works with others to ensure accuracy on requisition coding and matching invoices to all purchase documents in Manson's invoice router system.
- Assists in maintaining procurement records.
- Develops and implements additional administrative systems if needed for record management.
- Supports development of Service Agreements, Access Agreements, Purchase Orders, etc.
- Provides support to Purchasing Agent.
- Ensures compliance with Manson's Code of Ethics and Standards of Business Conduct.
- Responsible for practicing safe work standards and promoting an Incident and Injury Free (IIF) work environment as a condition of employment.

EDUCATION and/or EXPERIENCE
- High School Diploma or G.E.D required.
- Minimum of 1-3 years office administration and/or purchasing experience in construction or related industry required.
- General understanding of standard submittal processing and project document control preferred.
CERTIFICATES, LICENSES, REGISTRATIONS
Must have a valid Driver's License and acceptable driving record.
COMPUTER SKILLS
Intermediate knowledge of Microsoft Office Suite (Word, Excel, Outlook) required.

Position is primarily an office position. Occasionally will need to go to the warehouse or into the yard to review shipments that are either received or prepared to ship.
PHYSICAL DEMANDS
Position is primarily an office position, performs work at a desk. The employee is frequently required to sit for extended periods of time. The employee is occasionally required to stand, walk, use stairs, ladders, and step stools and reach with hands and arms. The employee must frequently lift and/or move up to 10 pounds and may occasionally lift and/or move up to 25 pounds. Employee must be able to wear the personal protective equipment (PPE) in order to conduct job site visits (hard hats, personal floatation devices, safety glasses, gloves, safety-toed shoes, respirators, etc.), and able to navigate stairs, ladders and gangways, board, work on and disembark floating vessels and structures.
