Posting Summary |
Rutgers, The State University of New Jersey, is seeking a Program Support Specialist for the department of Neurology at the Robert Wood Johnson Medical School.
The Program Support Specialist will support the
RWJMS Institute for Neurological Therapeutics (
RINT) and the Fellowship program in Neurology. Under the guidance of
RINT Program Manager and Institute Director, performs a wide variety of administrative and support services within the Institute. Assists in the planning and support of program activities and special projects. Coordinates office and lab operations and communication. Under the direction of the Directors of the Vascular Neurology and Epilepsy Fellowship Programs, plans, organizes, and coordinates day-to-day activities related to the Vascular Neurology and Epilepsy Fellowship Programs in the Department of Neurology.
Among the key duties of this position are the following:
- Provides confidential administrative support to the Director, Program Manager, department faculty, and research staff. Maintains and organizes confidential department and personnel files (hard and soft copy).
- Assists Program Manager with managing and carrying out daily activities and operations of the Director's Office & the Institute. Processes building access requests (ID Card/Keys), parking permits for guests and volunteers, and conference room requests, room set-up and audio-visual support. Submits work orders for building maintenance, housekeeping, and carpentry work, as needed.
- Provides administrative support to Institute Faculty. Manages calendars; drafts correspondence; schedules meetings; arranges travel; processes expense reimbursements; organizes lab meetings; and serves as coordinator for student interns and volunteers.
- Assists in processing biweekly timesheets for hourly employees. Tracks and records faculty and staff PTO.
- Reviews intradepartmental expenditures including purchasing quotes, invoices, and billing discrepancies. Verifies funding source, compiles necessary data, prepares justifications for projected expenditures, and tracks expenditures via spreadsheet. Processes invoices, purchase orders, check requests and expense reimbursements. Onboards new suppliers. Helps maintain Institute office and lab supplies and equipment needs. Works with staff to ensure items are ordered/stocked. Tracks inventory as needed.
- Helps maintain RINT website; ensures accuracy of information on website; and works with Program Manager and Director to develop and upload new website content.

Qualifications
Minimum Education and Experience |
- Bachelor's Degree in Liberal Arts, Public or Business Administration, the Social Sciences or a related field, plus two (2) years of professional level experience in a business office, government agency, or university setting.
- Equivalent experience, education and/or training may be substituted for the education requirements.

Physical Demands and Work Environment |
- Physical Demands: The incumbent needs to be physically capable of performing the above duties, including sitting at desk for extended periods, standing on feet, and walking to other buildings on the campus. Occasionally, certain heavy items may need to be moved or lifted, such as small equipment, boxes and bottles.
