The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. Position Summary Reporting to the Director of Strategic Communications for ColumbiaDoctors, the Communications Specialist will play a crucial role in promoting clinicians, services, and major initiatives of the organization across multiple communication channels and platforms. This position will participate in the execution of multichannel communication strategies, content creation, and clinical outreach activities, serving both the local community and Columbia University. The position will support projects, overseeing various programmatic events in collaboration with key FPO and Central Office stakeholders. Responsibilities Essential Duties
- Implement communication strategies in support of ColumbiaDoctors' strategic goals, including building
stakeholder collaboration, project management support, and event coordination. - In partnership with Clinical Department leadership and guidance, manage online clinician profiles, and
serve as the primary contact for the clinical provider database. Provide training and support for faculty, staff, and administrators across the ColumbiaDoctors clinical enterprise. - Support internal and external communications and outreach efforts, including service expansions,
events, and content development. - Contribute ideas and participate in the creation of digital content, including graphics and written
materials. - Assist in coordinating larger communications and community outreach initiatives including but not
limited to photo shoots, videos, newsletters, and social media campaigns.
Event Coordination
- Under the direction of the Director, oversee and manage the programming for event planning, and
execution, including live, virtual, and offsite events on behalf of the clinical enterprise for a variety of stakeholders. - Researches and arranges venues, contacts caterers and event-related providers, and liaises with the
Director on regulations and requirements governing University-sponsored events.
Project Management
- Provides administrative support to clinical enterprise communications projects, coordinates deliverable
schedules, tracks project processes, and assists with implementation of ColumbiaDoctors strategic campaigns as appropriate. Liaises with internal and external community stakeholders, as needed, to maintain efficient, effective relationships. Provide ongoing operational support for programs or initiatives following implementation as needed. - Executes tasks and coordinates task owner support and resources. Utilizes tools and reporting
mechanisms to track progress and ensure timely communication of issues and status. Monitors tasks, addresses any issues and escalates issues for resolution as appropriate. - Utilizes tools and reporting mechanisms to track progress and ensure timely communication of issues
and status. Conducts research and gap analysis as needed. Maintains internal documentation for tracking system records and ongoing projects. - Duties include attending meetings, performing and tracking tasks and required follow-up, reporting
and coordinating with project team members and other stakeholders, stakeholder engagement, setting agendas, providing support on development of communication plans, identifying risks and other barriers, and making recommendations throughout the project cycle as needed. - Validates and analyzes assigned datasets related to projects.
Strategy
- Monitors relevant communications and outreach key performance indicators and implements
approved performance improvement initiatives, as needed. Utilizes dashboards and reports to monitor and evaluate performance. - Develop processes and strategies to improve communications, outreach, and events.
People
- Build partnerships with and facilitate communication among key stakeholders across various offices.
- Establishes and manages relationships with stakeholders. Ensures engagement and consistent
communication on deliverables and related matters. - Promotes staff professionalism and performance with coaching, training, and feedback. Mentors staff
in individual and team accountability, modeling behavior and demonstrating best practices/techniques. - Demonstrates self-development and keeps current on a variety of industry topics.
Other
- Keeps current with all required organizational and regulatory compliance trainings and patient privacy
trainings and policies (e.g. infection control, public safety, EH&S, HIPAA, OSHA, etc.) - Serves on Communications and Outreach committees, task forces, and work groups as assigned.
- Maintain patient privacy and confidentiality according to HIPAA requirements at all times.

Minimum Qualifications
- Bachelor's degree or combination of education and experience.
- A minimum of 3 years of related experience.
- An equivalent combination of education and experience may be considered.
- Excellent writing, speaking, proofreading skills. This position requires the ability to interact positively,
constructively, and effectively with professional staff, providers, and organizational stakeholders. - Excellent organizational skills, attention to detail, time management, and the ability to set priorities
among multiple competing objectives, tasks, and initiatives are required. Candidate must be well organized and be able to manage a demanding workload of moderate to significant complexity. - Demonstrated strong proficiency in problem assessment, resolution, and collaborative problem-solving
in complex, and interdisciplinary settings. - Ability to communicate effectively in both oral and written form. Must be able to create and deliver
high-level communication presentations for senior leadership and other organizational stakeholders. - Demonstrate a professional and compassionate manner while conveying a positive image of the
department. - Ability to work independently, follow through and handle multiple tasks simultaneously.
- Ability to work collaboratively with a culturally diverse peer group, demonstrating tact and sensitivity in
stressful situations. - Strong proficiency in utilizing Microsoft Office (Word & Excel) or similar software is required and an
ability and willingness to learn new systems and programs. - Must be a motivated individual with a positive mindset and exceptional work ethic.
- Must successfully complete systems training requirements.
Preferred Qualifications
- Bachelor's degree in communications, marketing or related field is preferred.
