I Major Responsibilities:

1.Assesses the ongoing needs of clinical, administrative and support departments for volunteer services to ensure appropriate program resources are provided both short and long term. Manages through staff all requests for services of volunteers from various hospital departments. Works closely with managers and physicians to define services.

2.Implements volunteer strategic plan to modernize the Volunteer Department that allows for improved onboarding, increased volunteer hours, improved diversity within the Volunteer Department and is focused on improving the volunteer experience, patient and family experience and the caregiver experience. The strategy is to be focused around the four concepts of patient and family-centered care.

3. Collaborates with department leaders to create and identify initiatives supporting the patient experience including both direct customer satisfaction efforts and performance improvement initiatives.

4. Creates and implements comprehensive recruitment strategies to attract a diverse pool of volunteers, including retirees, students, professionals, and community members.

5. Strategizes and implements methods for engaging diverse populations and creating more equitable experiences. Committed to understanding the volunteer and patient experience from various demographic lenses.

6. Screens, selects, and places volunteer candidates according to department needs, individual interests, abilities, and availability. Develops, implements, and manages summer career program for high school students.

7. Manages the process to ensure all volunteers meet and have documented the new and annual orientation and training requirements including but not limited to health service clearance, TST compliance, mission, vision, values, general safety, HIPAA and confidentiality information. Works with various hospital units in organizing unit/department-specific training, and orientation programs designed to instruct volunteers in procedures they will use in performing their duties.

8. Manages program-wide events including National Volunteer Recognition Week and events for recognition of meritorious service. Responsible for complete event management including site locations, speakers, programs, gifts and evaluations.

9. Develops, recommends, and adheres to the operating budget. Maintains reports and statistics planning and variance reporting purposes. Responsible for authorizing departmental invoices. Manages fundraising events each year to offset the costs of operations. Selects vendors, negotiates income that will be generated from fundraising efforts, coordinates all marketing and communication of events within the Medical Center.

10. Manages staff requests for medical center lobby vendor shows including screening vendors and developing standards of practice.

11. Manages hospital staff requests for hospital lobby vendor shows including screening and scheduling of vendors.

12. Maintains relationship with peer professionals and participates in local regional and national volunteer organizations and events. Presents at colleges, high schools, and job fairs. Attends educational conferences.

13. Serves as an active member of UMass Memorial Emergency Preparedness Team. Responsibilities during an emergency or disaster are to activate a 7/24 plan and procedures by acquiring additional volunteers.

14. Oversees the maintenance of the department facilities and equipment to assure and promote efficiency, health, comfort, and safety of volunteers and staff. Evaluate and justify equipment and supply needs.

15. Oversees relationships with Employee Health staff to streamline health clearance process.

16. Responsible for volunteers' discipline issues, corrects and/or notifies Director if further action is necessary.

Standard Management Level Responsibilities:

1. Directs and supervises assigned personnel including performance evaluations, scheduling, orientation, and training. Makes recommendations on employee hires, transfers, promotions, salary changes, discipline, terminations, and similar actions. Resolves grievances and other personnel problems within position responsibilities.

2.Develops and recommends the budgets for the areas managed. Manages activities to assure financial goals are met.

3.Coordinates the assignment of tasks and helps resolve technical and operational problems. Evaluates the impact of solutions to ensure goals are achieved.

4.Provides effective direction, guidance, and leadership over the staff for effective teamwork and motivation; and fosters the effective integration of efforts with system-wide initiatives.

5.Encourages and supports diverse views and approaches, demonstrates Standards of Respect, and contributes to creating and maintaining an environment of professionalism, respect, tolerance, civility and acceptance toward all employees, patients, and visitors.

6.Integrates diversity into departmental objectives, such as hiring, promotions, training, vendor selections, etc.

7.Participates in performance improvement initiatives and demonstrates the use of quality improvement in daily operations.

8.Ensures compliance with regulatory agencies such as Joint Commission, DPH (Department of Public Health), etc. Develops and maintains procedures necessary to meet regulatory requirements.

9.Ensures that department complies with hospital established policies, quality assurance programs, safety, and infection control policies and procedures.

10. Ensures adequate equipment and supplies for department.

11.Develops and maintains established departmental policies, procedures, and objectives.

12.Ensures compliance to all health and safety regulations and requirements.

13.Maintains, regular, reliable, and predictable attendance.

14.Performs similar or related duties as required or directed.

II. Position Qualifications:

License/Certification/Education:

Required:

1. Bachelor's degree in Business, Healthcare, or related field.

2. Must have valid driver's license to move from one campus to another as necessary.

Experience/Skills:

Required:

1. Minimum of 5 years of related experience.

2. Demonstrated Leadership ability.

3. Strong organizational and planning skills, decision making, problem solving, multi-tasking, and prioritization abilities required.

4. Excellent communication and interpersonal skills, both written and verbal.

5. Must show willingness to be flexible and adaptable to change in priorities.

6. Must be able to work independently and function as a team member who fosters effective communication and coordination of department efforts.

7. Ability to multi-task, trace progress and quality of project plans, as well as on-going work.

8. Ability to work with a wide diverse ethnic, cultural, and educational group of people.

9. Proficient in Microsoft Office Suite Products, particularly with PowerPoint, Excel, Word, and Outlook.

Preferred:

1. Previous supervisory experience of Volunteers.

2. CAVS or other relevant certification.

3. Working knowledge of patient centered care principles, performance improvement standards and methodology, and Lean Management principles

Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements.

Department-specific competencies and their measurements will be developed and maintained in the individual departments. The competencies will be maintained and attached to the departmental job description. Responsible managers will review competencies with position incumbents.

III. Physical Demands and Environmental Conditions:

Work is considered sedentary. Position requires work indoors in a normal office environment.
