The HIM ROI Technician I performs a variety of duties to support the timely, accurate and compliant review and data entry of requests for patient medical information. Primary responsibilities include maintaining competency and understanding of applicable laws & regulations governing release of PHI, meeting productivity standards, and independently participates in daily workflow.

Responsibilities

  • 1. Performs data entry of medical information requests received through mail, fax, or approved electronic means, per HIM department procedure and all applicable state and federal regulations governing release of patient records.
  • 2. Manages electronic work queue and/or incoming hard copy requests; demonstrates ability to operate desktop scanner.
  • 3. Adheres to applicable YNHHS policy, HIPAA regulations, Federal, and Connecticut statutes as pertains to releasing patient protected health information. Participates in continuing education to maintain knowledge . Seeks clarification from department leaders as needed.
  • 4. Demonstrates competency in evaluating completed authorizations for required elements prior to entering requests in the ROI tracking system. Can accurately explain to requestors the requirements and remedies necessary for incomplete requests. Generates system-based rejection letters as needed.
  • 5. Meets current department quality and productivity standards, communicating opportunities for efficiency and barriers to department leaders as necessary.
  • 6. Maintains established turnaround times for data entry and other assigned tasks. Any deviations in TAT should be reported to ROI leadership to take appropriate action.
  • 7. Applies YNHHS service excellence pledge in all interactions with customers, department leaders, and co-workers.
  • 8. Demonstrates telephone courtesy, including consistent use of standardized greetings and other scripting.
  • 9. Prioritizes work assignment to ensure requests for immediate patient care are fulfilled in a timely manner.
  • 10. Consistently monitors outlook email account and responds appropriately to emails from department leaders, coworkers, and other stakeholders.
  • 11. Attends mandatory team and HIM department staff meetings.
  • 12. Performs other duties as assigned.

Qualifications

EDUCATION

High school graduation or equivalent required. Formalized medical record technician training preferred.

EXPERIENCE

One (1) to two (2) years of clerical experience; medical office experience preferred. Computer data-entry experience required.

SPECIAL SKILLS

Position requires excellent data entry skills and basic knowledge of HIPAA regulations pertaining to the validity of an authorization. Ability to work as part of a team and focus on one task for extended periods. Capability to operate scanners, printers, fax machines & copiers. Ability to efficiently organize & prioritize work. Ability to learn new tasks quickly & flexibility to adjust to changing environment. Ability to interact professionally with co -workers and staff from other departments and vendors as needed.

PHYSICAL DEMAND

Must have physical dexterity to manually review and sort mail, use a scanner, and type on a keyboard.
