Job Description |
Virginia Western Community College is a two-year public institution of higher education operating under the Virginia Community College System, a statewide system of community colleges. The College operates under the policies established by the State Board for Community Colleges and the Virginia Western Community College Local Advisory Board.
Virginia Western is located on a 70-acre campus in southwest Roanoke, VA. The service region of the College includes Roanoke, Salem, Roanoke County, Craig County, Franklin County, and southern Botetourt County. The College was established in 1966 and has grown from an initial enrollment of 1,352 to its current annual enrollment of over 9,000 students in credit courses and more than 1,400 enrollments in fast-track workforce and continuing education courses.
Virginia Western Community College is accepting applications for a full-time, Administrative and Office Specialist
III position for the School of Health Professions and Workforce Solutions. This collaborative position provides programmatic support for the School of Health Professions and Workforce Solutions. This position manages clinical placement processes for students, ensures compliance with clinical partner requirements, and serves as the primary point of contact for external facilities/hospital systems in the creation and renewals of Clinical Affiliation Agreements. This position provides support to the Health Professions Administrative Assistant and the Dean of Health Professions by assisting in day-to-day operations and information requests to ensure that the volume of work is completed in a timely manner and that the school operates smoothly.
Since this is a newly created position, position responsibilities will be evaluated after 12 months to determine if further refinement is needed. |
Special Assignments |
May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor. |
KSA's/Required Qualifications |
Strong command of the English language in both oral and written forms. Must have excellent verbal and written communication skills, as well as the ability to build and maintain effective working relationships. Excellent organizational skills, attention to detail, and file management skills--both electronic and physical files. Proven ability to work very well with others. Evidence of self-directed professional office and interpersonal/customer service skills. Critical thinking and problem-solving skills. Excellent customer service skills, supporting diverse customers such as students, faculty, staff, and community stakeholders.
Experience managing detailed processes and documentation. Experience maintaining accurate and organized records and files. Experience communicating and collaborating with a variety of stakeholders (e.g., students, faculty, vendors, community partners). Experience providing customer service to diverse populations. Experience managing multiple responsibilities and meeting deadlines in a fast-paced office environment Demonstrated proficiency with
MOS software required. |
Additional Considerations |
Administrative support experience in a higher education setting and/or health-related employment setting. Experience with learning management systems such as Blackboard, Canvas, Workforce Enterprise System (
WES), and/or a Student Information System (
SIS). Experience with eVA procurement systems. Familiarity with educational resource vendors such as Castle Branch, Shadow Health, and Kaplan. Familiarity with medical terminology preferred. Familiarity with Workforce Development Services (
WDS) Fast Forward program preferred. Familiarity with health professions program onboarding. |
