The UC Irvine Department of Chemistry is one of four departments in the School of Physical Sciences. The department is proud to offer world-class education and training for our students. We train thousands of general education students each year in Chemistry fundamentals; prepare our undergraduate majors or careers in industry and/or graduate school; and mentor graduate students for independent research careers, teaching, or high-level industry positions. The Chemistry administrative team supports faculty, research staff, and students to enable them to push the frontiers of knowledge through cutting edge research. The Operations Manager is a key part of a collaborative management team in the Department of Chemistry that works together to find innovative solutions and practices to achieve goals and improve practices. Your Role on the Team

The Department of Chemistry in the School of Physical Sciences at the University of California, Irvine is seeking applications for an Operations Manager. This role provides organizational leadership to the administrative, student affairs, and stockroom/teaching units in the Department. This position reports to and works in collaboration with the Department Manager, providing assessment, analysis, and recommendations to the Department Manager and independently implementing agreed upon actions. Utilizing knowledge and expertise in departmental affairs, this position is responsible for evaluating existing administrative practices and creating systems and processes to incorporate greater efficiency and clarity in departmental functions such as finance, contracts and grants pre-award, and student affairs. Responsible for leading the Department of Chemistry to implement greater efficiencies and fostering an environment of continuous improvement by applying process improvement and organizational management tools. The Operations Manager position serves as a strategic resource in the Department, understanding and overseeing a variety of decisions and functions. The position provides key leadership for administrative staff and plays an advisory role for faculty leadership. The Operations Manager is in a unique position to affect organizational change throughout the unit by assisting to create and implement Strategic goals and priorities in both the short and long term. This position supervises four direct reports and four indirect reports, and is responsible for the recruitment, supervision, performance management, and development of direct reports. Financial duties include oversight of all fiscal operations, including reconciling ledgers, running and reviewing financial reports, and participating in fiscal close activities. Provides back-up to contracts and grants pre-award analyst. Oversees student affairs and stockroom, maintaining the budgets for course management fees and graduate student funding.

The expected pay range for this recruitment is $85,400- $121,100 (Annual).

Required:
  • Advanced knowledge of the organization's processes, protocols and procedures with a focus on budget, account and fund management and student affairs under labor contract(s) and personnel policy.
  • Knowledge of financial analysis and reporting techniques and accounting and payroll.
  • Strong verbal and written communication skills.
  • Experience managing staff with competing deadlines to ensure obligations are met in a cost effective and timely fashion.
  • Broad knowledge of common organization-specific and other computer application programs.
  • Skills to work collaboratively with faculty, staff, students and campus personnel.
  • Proven skills to quickly evaluate and address complex issues and identify multiple options for resolution.
  • Demonstrated management and conflict resolution skills to effectively lead and motivate others.
  • Excellent communication and interpersonal skills to work with diverse groups (faculty, staff, students) of individuals to effectively provide information, identify problems, and develop feasible solutions.
  • Advanced skills in short- and long-term strategic planning, analysis, problem-solving and customer service.
  • Ability to comprehend concepts and mission of the unit, and initiative to create and implement innovative policies and procedures to best satisfy those goals in a most effective manner.
  • Ability to comprehend, interpret and implement University policies and procedures regarding personnel, payroll, research, fiscal matters, space, equipment, student affairs etc.
  • Experience effectively supervising support staff, handling sensitive matters with discretion and confidentiality.
  • Knowledge of various computing applications, and correct usage of English grammar, spelling and punctuation to effectively produce reports, proposals, memos and letters.
  • A minimum of 7 years of experience. Previous experience leading or supervising a team.

  • Preferred:
  • Knowledge of and experience with relevant UC and Departmental structure, policies and procedures, and strategic goals.
  • Knowledge of the School of Physical Sciences practices.
  • Knowledge of the Department of Chemistry structure and priorities.
