JOB DESCRIPTION
The Facility Coordinator will be responsible for managing the Facilities Team workload by using a CMMS (Computerized Maintenance Management Software). This position will be responsible for supporting critical asset maintenance, work planning and inventory for two critical facilities by maintaining accurate setup and reporting through our CMMS. Data Entry is a major and continuous responsibility of this position- the data entered needs to be accurate. Responsible for mastering both basic and advanced CMMS functions. Basic functions are used every day by regular users to document work and complete work orders. Advanced functions include the following: managing attachments, using auditing tools to maintain system and data integrity, setting up dashboards, editing drop-down list contents and labor tracking, approving and closing work orders, viewing, understanding, and drawing conclusions from maintenance, equipment and cost history and configuring a schedule for the engineers. As part of the Facilities team you will collaborate directly with leadership to establish, schedule and organize facility events.

ABOUT THE ROLE
- Responsible for supporting critical asset maintenance, work planning, inventory and reporting for facilities by maintaining accurate setup and reporting through a CMMS
- Act as point of contact for the day-to-day operations of the CMMS and facility calendar; provides support to users for applicable problems and solutions as the facilitator and subject matter expert
- Responsible for the application of CMMS, work order, work planning, and spare part functionality of the software
- Provides out-of-box and ad hoc reporting as required for established key performance indicators such as Planned Work vs Scheduled Work (%) and Work Compliance (completed on time)
- Monitors data integrity of the CMMS database to support the asset management functions and makes recommendations for procuring the necessary data based on criticality and cost
- Establishes, maintains and ensures consistent application of the Computerized Maintenance Management System (CMMS) procedures, work order assignments, assignment of vendors, etc.
- Manage and troubleshoot the CMMS
- Responsible for mastering both basic and advanced CMMS functions
- Participates in requisite CMMS training and stays aware of any upgrades or changes
- Prepares PM work schedules by ensuring assets and schedule maintenance is documented in accordance with Original Equipment Manufacturer (OEM) guidelines, is consistent with management expectations and uses facts/data to prepare for PM meeting with the leadership team
- Executes, reviews and completes daily follow-up regarding offline assets, assets with failed tasks and facilitates site visits for contractor and vendor site visits for PM and corrective repairs
- Ensures inventory records are accurate so that the maintenance team has necessary critical spare parts to rectify any unplanned downtime events
- Maintains organized files and databases and identifies and resolves discrepancies in records or files by using best practices approach
- Manage relationships with outside vendors and business supply companies that are required to maintain the daily operations of the facility
- Assist in updating Health and Safety Protocols and ensuring that protocols are followed throughout the building
- Assist with administrative duties including faxing, copying and organizing/maintaining files and document library
- Support facility/building operations with any special projects and events, as needed
- Documentation will need to be provided on each assigned request, requiring attention to detail and strong written communication
- Schedules, plans and writes work requests, inspections and work notices to complete job assignments and building inspections on schedule
- Maintains organized project files to ensure accurate records are accessible for future reference

- Experience with database reporting

Pursuant to state and local pay disclosure requirements, the pay rate/range for this role, with final offer amount dependent on education, skills, experience, and location is $24.25-31.74 per hour for high cost labour markets such as but not limited to New York City and Los Angeles, $20.00-26.25 per hour for all other US locations. This role is also eligible for various benefits, including medical/dental/vision, insurance, a 401(k) plan, paid time off, and other benefits in accordance with applicable plan documents. Benefits for Union represented employees will be in accordance with the applicable collective bargaining agreement.
