Patient Scheduler
Job Summary Please note there are two openings; the anticipated duration is approximately three months. Must be able to work at Parnassus, Mission Bay or Zuckerberg San Francisco General Hospital. Will include optional medical benefits, holiday pay and sick leave accrual.
Key Responsibilities:
Administers a defined operational program or activities which may include some of the following functions: finance, facilities, payroll, space planning, student services, human resources, communications, informational technology, or safety. Manages Participant Reservations, Registration, and Clinical Research Billing:
- Schedules visits in APeX and other computer scheduling systems. Effectively evaluates the resources required for a research protocol visit prior to scheduling.
- Ensures that all site reservations are entered in a timely manner to expedite the registration process and increase investigator satisfaction. Ensures cancellations are noted appropriately.
- Assures accurate and timely pre-registration and arrival of outpatient visits; oversees the process for obtaining chart materials and production of labels. Registers patients in APeX, Outlook, and iLab.
- Serves as unit expert on Medical Center systems for patient registration and billing; participates in resolution of registration and billing issues; serves as liaison to Medical Center departments as needed.
- Participates in the implementation of clinical research activities and billing initiatives.
Protocol Implementation:
- Creates customized reservation forms & templates for new clinical research protocols. Modifies forms/templates as needed. Must read and comprehend a clinical research budget & protocol in order to determine which procedures will happen at each visit and determine length of visit based on procedures performed. Collaborates with study team and nursing staff during the design process.
- Attends start-up meetings for new clinical research protocols.
- Assists study teams onboard new clinical research protocols. Orients study staff to CRS pre-implementation process; makes referrals to relevant CRS managers for resource availability issues.
- Assists with designating proper resource allocation.
- Assists CRS Assistant Director of Operations in troubleshooting scheduling issues and recommends solutions.
- Works collaboratively with a diverse array of people including, nursing staff, lab staff, infusion center staff, study coordinators, investigators, patients, and families.
- Develops and maintains Study Coordinator contact information and listserv. Keeps Study Coordinators abreast of issues within the unit.
Manage Office Systems and Procedures:
- Reviews current office systems and procedures; proposes revisions.
- Coordinates ordering of supplies.
- Maintains a clean, safe, and functional work environment.
- Completes annual safety training.
- Submits tickets to address IT and Facilities issues as directed.
- Learns and adopts professional unit-based communication practices.
- Learns to utilize resources, such as Emergency Resources Guide, and verbalizes correct actions to take when asked as well as when events occur.
- Learns and adheres to Environment of Care policies that apply to non-clinical staff.
Other Support:
- Provides general administrative support to the Clinical Research Services.
- Follows all unit, department, campus, and medical center policies, procedures, and work rules.
- Supports the development of unit/team goals and actively participates in unit staff meetings, in-services, and educational programs as required.
- Contributes to and actively participates in the quality assurance and quality improvement process.
- Protects the confidentiality of all records and documents.
- Provides additional administrative support to other CRS sites (Parnassus, VA, ZSFGH, and UCSF RAB at ZSFGH).
