Job Description

Pay Range: Starting at $19.75 per hour

Role:

The Executive Assistant provides administrative support to the Executive Leadership Team. This level of support enables the Executive Leader to focus on the core responsibilities of their position. The Executive Assistant's primary goal is to increase the Executive Leader's capacity to lead the organization strategically by removing tasks that a highly functioning assistant can perform. The Executive Assistant adheres to and embodies Gulf Winds' Vision, Mission, and Values.

Essential Functions & Responsibilities:

Provides a primary level of administrative support for the Executive Leadership Team, working in close collaboration and communication with them. This includes but is not limited to preparing agendas, packets, and minutes of meetings; proactively managing an extremely dynamic calendar; coordinating meetings; preparing and submitting expense reports; arranging complex and detailed travel plans, itineraries, and agendas. Communicates directly and on behalf of Executive Leaders with Board of Directors members, President/CEO, other Executive or Senior Leaders, and others on matters related to the Credit Union's initiatives. The role involves informing the Executive Leadership Team of their upcoming commitments and responsibilities, following up appropriately, and maximizing their efficiency by screening/organizing phone calls, publications, and other correspondence with the ability to respond knowledgeably to such on the Executive's behalf. The Executive Assistant has the ability to anticipate tasks that need to be accomplished and the temperament to strive toward these calmly and efficiently.

Proactively collects information, assisting with developing and preparing assigned reports, including but not limited to spreadsheets, budgets, timelines, PowerPoint presentations, reports to the President/CEO, and Board of Directors reports. Able to make knowledgeable edits for size and content.

Provides general support to other Senior Leaders under the Umbrella of the Executive Leadership Team, including but not limited to teaching them how to book travel, reserving company cars, directing them to appropriate resources, and helping to increase efficiencies of all administrative processes.

Performs other job-related duties as assigned, including but not limited to stocking the Board Room and other meeting rooms with appropriate supplies and Delivery of incoming/outgoing mail.

Performance Measurements:

Ensure Executive Leader support is provided timely, completed with accuracy, and professionally.

Maintain the confidentiality of all information as directed in Credit Union policy and procedure.

Meet required time deadlines for email, mail, or correspondence distribution and calendar updates.

Ensure the Credit Union is making improvements towards process efficiency.

Complies with all applicable rules, regulations, procedures, and policies, including but not limited to BSA, OFAC, and Physical Security.

Knowledge and Skills:

Experience: Three years to five years of similar or related experience.

Education: A high school education or GED.

Interpersonal Skills: Work involves much personal contact with others inside and/or outside the organization for the purpose of first-level conflict resolution, building relationships, and soliciting cooperation. Discussions involve a higher degree of confidentiality and discretion, requiring diplomacy and tact in communication.

Other Skills: Must have excellent verbal and written communication/presentation skills. Advanced Microsoft Office skills, including Word, Outlook, Excel, and PowerPoint with the ability to become familiar with Credit Union specific programs and software. Excellent typing skills. The ability to manage many activities and assignments, recognize when prioritization may be needed, and escalate appropriately. Strong organizational, project management, attention to detail, and problem- solving skills. Friendly and professional demeanor with emotional maturity. Exceptional interpersonal skills. Ability to read, write, comprehend, and speak English clearly.

Normally expected to work between 8:00 a.m. and 5:00 p.m. but may be required to work nights and/or weekends. Must adhere to all safety rules and regulations.

Physical Requirements: This role requires sitting at a computer for most of the day. This role would also require the ability to file files, open filing cabinets, and bend or stand as necessary. Work Environment: The position is based in-office in our Pensacola, Florida market, operates primarily in an office setting, and routinely uses standard office equipment such as computers, printers, and phones.
