Your Role as AmeriCorps Recruitment and Operations Manager

The AmeriCorps Recruitment and Operations Manager serves as the leader on AmeriCorps recruitment, hiring, training, management, and reporting. The individual is an extremely organized and deadline-driven leader who cares deeply about recruiting a cohort of talented volunteers to serve as AmeriCorps members (coaches) and ensuring compliance of our national service grant. This person will have a passion for education equity, specifically college access and success work. This position requires the ability to strategically plan and meet AmeriCorps recruitment and compliance objectives in a timely manner, and the ability to closely monitor progress toward goals and take immediate remedial action when necessary. The AmeriCorps Recruitment and Operations Manager will lead the Seattle site operational and onboarding tasks. This includes the day-to-day operations of the site including budget tracking, human resources, office management/purchasing, information technology, and project management. This position also works closely with the National Human Resources team as the local staff lead on AmeriCorps recruitment, hiring and on-boarding.



  • Lead AmeriCorps Recruitment and Management: Serve as the site lead for annual recruitment, selection, and hiring of AmeriCorps members and all processes from pre-enrollment through exiting members at the conclusion of their service. Manage local recruitment and interview opportunities. Monitor member files, time sheets, and other management activities as appropriate to ensure AmeriCorps compliance. Support the site and national teams in collecting needed reporting data.


  • Evaluate, Track and Report on Progress: Attend quarterly trainings, and support audits as needed alongside the Senior Program Director. Co-create manage surveys and focus groups related to members term of service for creating reports, presentations and making improvements to our AmeriCorps program. Track and maintain member files and web reporting of member hours. Ensure documentation relating to AmeriCorps member performance.


  • AmeriCorps alum and Key Stakeholder Engagement: Maintain relationship with Seattle site AC alums; lead and coordinate Seattle site AC alum events, manage alum communication and coordinate Alum Spotlights. Maintain alum records and data for recruiting return coaches and coaches to join the Seattle site as full-time staff. Help build and maintain relationships with partner colleges and committees of community-based education focused organizations.


  • Provide office management for College Possible Washington site: Coordinate all site office functions and maintenance needs. Maintain all office equipment in proper working order, placing service calls as needed to ensure minimal disruption in operations. Collect and distribute all incoming mail and coordinate all outbound mail for the site. Coordinate all purchasing and receiving for the site in keeping with organizational policies. Monitor, maintain and order office furniture and office supplies and equipment necessary for day-to-day use. Be responsible for the general presentation of the office, training spaces and storage unit. Provide support to each functional team as needed.


  • Serve as site lead on Operations: Serve as the lead for all technology needs for the site. Work with the national office to coordinate and resolve miscellaneous accounting issues. Coordinate all purchasing, receiving, and vendor relations for the site. Track annual operations and recruitment budget. Assist with computer/technical equipment and provide support for troubleshooting problems.


  • Event Project Manager: Responsible for the co-creation and execution of AmeriCorps service days, AmeriCorps appreciation events, annual welcome weeks planning, and events benefiting the Seattle site students and team members. Assist in executing member and staff retreats, purchasing training material, member swag, member technology, recognition gifts, and manage shipments and inventory.


  • Other duties: Assist with other Seattle site AmeriCorps and site operations as needed, including program support, reporting, and administrative tasks as assigned.


What You Bring

Education/Certifications/Licenses:



  • Bachelor's degree required


Related Work Experience:



  • A minimum of 2 years related work experience required, recruitment experience and college recruitment experience strongly preferred.
  • Demonstrated success in recruiting diverse applicant pools highly desired.
  • Human Resources experience and/or operations experience highly desired.



Computer/Software Skills:



  • Strong computer skills, including demonstrated proficiency in: Microsoft Office Suite.
  • Ability to troubleshoot minor technology issues and serve as liaison between site and tech support company.
  • Familiarity with Handshake a plus.



Other Skills, Abilities and Requirements:



  • Willing to work 30 hours per week. In addition, to meeting once a week in person at a designated location and commute to schools, job fairs, school events, or other events as needed.
  • Excellent organizational skills and the ability to prioritize and manage multiple projects and meet deadlines in a fast-paced environment.
  • Exceptional visual, verbal, and written communication skills.
  • Openly communicates necessary information with accuracy in a timely manner.

  • Must be willing and able to work evenings and weekends occasionally.



Physical Requirements:



  • Ability to lift to 20 pounds when needed.
  • Hybrid work environment with limited travel.
  • Ability to stand and/or sit for a minimum of 7 hours a day.
  • Valid driver's license and insured vehicle required.
