Essential Job Responsibilities:

The Union Payroll Specialist provides accurate and timely payroll processing, legal filings and reporting. Ensures compliance with payroll laws and regulations. Prepares payroll file for processing to ensure timely payments to a variety of agencies for garnishments, collections, etc. Prepares and processes payroll related information and calculates earnings, adjustments, retro-active payments, etc. Establishes and manages all payroll related work procedures. SSA Conventional terminal employees per the terms and conditions of union contracts and any exceptions that are approved by the management in a timely manner.



  • Collect payrolls from each terminal daily.
  • Confirm payrolls to ensure accuracy with dispatched labor orders and save all documents accordingly.
  • Check all payroll reports and resolve issues prior to preparing the weekend and month-end reports.
  • Prioritize all billable payrolls before sending to billing departments.
  • Research and resolve any shortage claims from the terminal, union association, or directly from the payee.
  • Prepares and processes payroll related information and calculates earnings, adjustments, retro-active payments for multi-state companies.
  • Process new hires and maintain employee data within ADP Payroll system.
  • Manage workflow to ensure all payroll transactions are processed accurately and timely.
  • Reconcile payroll prior to transmission and validate confirmed reports.
  • Process correct garnishment calculations and compliance management procedures.
  • Uses WFM time and attendance system to process time records that are sent via interface to the ADP EV5 system.
  • Research and email appropriate audience of file issues between ADP and WFM systems.
  • Assist with ensuring compliances are met for unclaimed property payroll checks.
  • Process accurate and timely year-end reporting when necessary (W-2, W-2c, etc.).
  • Develop ad hoc financial reporting in ADP as needed.
  • Process manual checks using ADP checkmate and EV5.
  • Timely payments of non-benefit related deductions such as Union Dues, Check offs, etc.
  • Maintain basic filing system in a timely manner.
  • Ensure accuracy on I-9 verification.
  • Process employment verifications.
  • Must have strong communication skills to effectively navigate interactions with employees and managers at all levels of the organization.
  • Other job duties as assigned.

Qualifications:

  • Associate's degree preferred.
  • 3-5 years' experience processing multi-state payroll.
  • Experience with ILA CBAs and ILA payroll.
  • Experience in processing high volume complex payroll in 5+ states.
  • Weekend work may be required depending on operations and contract close.
  • Strong knowledge of federal and state regulations.
  • Strong PC skills including proficiency in Excel.
  • Working knowledge WFM timekeeping, ADP -- EV5.
  • Strong work ethic and team player.
  • Ability to deal sensitively with confidential material.
  • Strong interpersonal (verbal and written) communication skills.
  • Ability to communicate with various levels of management.
  • Decision-making, problem-solving, and analytical skills.
  • Organizational, multi-tasking, and prioritizing skills.
  • Must be able to work under weekly deadline pressures, quarter end and year end activities related to payroll accounting.
