Overview

As the Administrative Assistant working for Hepburn and Sons LLC, you will support managers and employees to accomplish a variety of tasks. You will be expected to report to the Chief Engineer/Department Head of Engineering .

This is a contingent position based on award/funding from the customer.

Responsibilities

    Support the preparing, transcribing, transferring, systematizing, and preserving of communications, records, and other information.
  • Operating office machines
  • Storing, distributing, and accounting for stores of material
  • Support projects requiring research and preparation of briefings charts and other presentation materials
  • Operating computerized business systems for the purpose of data entry and mining of business systems for the administration of ship repair and gathering performance metrics
  • Perform administrative tasks, data entry and database updates in Electronic Departure From Specification, Navy Maintenance Database (NMD), TASS-Info including eTAVR tracking, data entry and metrics
  • Prepare and maintain spreadsheets, charts and graphs
  • Prepare meeting minutes and presentations, file and records management, enter, update and retrieve information utilizing automated systems
  • Prepare correspondence, instructions, and memorandums
  • Assist in material ordering, pickup and delivery of supplies


Qualifications

  • High School Diploma
  • 2 or more years' Administrative Assistant experience
  • Must have experience supporting managers and employees through accomplishment of a variety of tasks related to the Engineering Dept organization and communication
  • Must have experience handling and processing time sensitive material
  • Must have the ability to effectively communicate via phone and email to ensure assigned duties are completed accurately and delivered with high quality and in a timely manner
  • Must have the experience and judgment to plan and accomplish short and long term goals
  • Experience dealing with senior management is required as this position will report to the Chief Engineer/Department Head of Engineering
  • A working knowledge of Microsoft Outlook, Word, PowerPoint and Excel
  • A working knowledge of time keeping systems, specifically TAAS and SUPDESK, Business Objects and (MRQT) Material Requirements Tool
  • Active secret clearance with NACLC Investigation
  • Capable of bending, stooping, lifting
  • Able to work in an environment of low and high temperatures
