Job Summary

We are seeking an organized and detail-oriented Administrative Assistant to support the Pharmacy Unit within the Fire and Rescue Department. This role involves managing a variety of administrative tasks to ensure the smooth operation of pharmaceutical services, including coordinating supply orders, scheduling meetings, handling inquiries, and assisting with procurement and reconciliation processes. The ideal candidate will be proactive, possess strong communication skills, and demonstrate the ability to manage multiple tasks with efficiency and accuracy.

Key Responsibilities:
* Provide comprehensive administrative assistance to support pharmacy operations, including scheduling, meeting coordination, filing, and correspondence management.
* Prepare reports, documents, and data summaries as required. Update and maintain departmental databases and files to ensure accurate recordkeeping.
* Assist with purchasing activities by preparing requisitions, processing orders, and maintaining inventory records.
* Coordinate with vendors to verify orders and resolve discrepancies, supporting compliance with department procurement policies.
* Serve as a point of contact for inquiries related to pharmaceutical services, directing calls and inquiries to the appropriate staff member. Provide courteous and timely support to internal and external stakeholders.
* Reconcile accounts, prepare credit card transactions, and support budget tracking and reporting for the pharmacy unit.
* Maintain accurate financial records in compliance with department policies and procedures.

Hiring salary commensurate with experience.


Minimum Qualifications

High school diploma or equivalent; a minimum of three years of related administrative experience, ideally within a medical or pharmaceutical setting.


Job Contingencies and Special Requirements

Successful candidate will undergo a criminal background check, including fingerprinting, credit and DMV check.

May be required to work early morning or late evening meetings or extra hours in the evening or on the weekends.
