Overview

The Project Coordinator will support the business needs of a designated division and staff within the forensic business. Responsible functions include scheduling of project staff, file, and records management, purchasing, mail distribution of contracts to clients, new assignment intake, client coordination, invoicing, and office management. The level of responsibility is projected to expand with company growth. This person will work under general supervision, exercising initiative and independent judgment in the performance of tasks.

Essential Job Functions



  • Supports the business and production needs of the designated division.
  • Relieves professional staff of routine administrative work, including preparation of correspondence.
  • Answers phones and routes calls and messages to office personnel.
  • Project-related scheduling of staff.
  • Responsible for proofreading, quality control, and distribution of outgoing non-technical work documents.
  • Sets up and maintains general office files, electronic project files, and other files related to the company's business.
  • Takes new project assignments and inputs all information correctly.
  • Manages invoicing to clients.
  • Performs other duties as assigned.


Required Education and Certifications



  • Minimum of 2 years' experience in project administration and general administration, preferably with office management experience.
  • Previous experience as a branch administrator is desired.


Required Skills and Abilities



  • Must have high level of interpersonal skills to handle sensitive and confidential information. Position continually requires demonstrated poise, tact, and diplomacy.
  • Experience with a forensic engineering firm is desired.
  • Ability to understand departmental operations and procedures.
  • Experience with project scheduling and the ability to track consultant workload.
  • Must be able to interact and communicate with individuals at all levels of the operation.
  • Intermediate knowledge of a variety of computer software applications including word processing, spreadsheets, email, and database software (MSWord, Excel, and Outlook).
  • Must possess excellent business writing, editing and proofreading skills; work requires continual attention to detail, establishing priorities and meeting deadlines.


Physical Demands, Overtime, and Travel Requirements

Physical Demands - Work is performed primarily in an office setting. Employee is frequently required to stand, walk, sit, climb, bend, balance, stoop, kneel, crouch, talk, and hear. Employee may lift and/or move up to 25 pounds. Clear vision and depth perception are also necessary.

Overtime - This position is classified as salaried with an exempt FLSA status. Regular working hours are 8:00 a.m. to 5:00 p.m., Monday through Friday, with one hour for lunch. There will be periods where overtime will be required, which the employee will need to comply with in order to meet the demands of the position.

Language and Writing Skills - Must have ability to read, analyze, and understand information and ideas presented in writing. Ability to respond in writing or verbally to matter specific and general inquiries from management, peers, subordinates, clients, and external vendors. Must be able to produce and disseminate correspondence (i.e. emails, letters, etc.) as requested.

The Salary Range for this position is $50,000.00 - $58,000.00 and is dependent on education, experience, location and certifications/licensure.
