This position is located on the Peoria campus 170 miles southwest of Chicago. (On-Site Work - Not Remote).

The University of Illinois College of Medicine Peoria (UICOMP) educates 265 medical students and more than 300 physician residents and fellows annually. Additionally, it provides clinical care to more than 31,000 patients annually and conducts basic science, clinical and outcomes research. UICOMP is a regional campus of the University of Illinois College of Medicine, a part of the University of Illinois Chicago and University of Illinois System. Position Summary

The incumbent will work under the direction of the Office Administrator, Department of Internal Medicine, the Associate Chair for Education and the Section Chief of the Infectious Disease Section. With the oversight of the Associate Chair for Education, the incumbent will support, coordinate and manage activities related to departmental Grand Rounds, other departmental educational programs, and assist with general department operations. In addition, the incumbent will anticipate and provide highly specialized administrative support for the Infectious Disease Section. An in-depth knowledge of the department, department policies, CME rules and procedures is required. Good judgement, ability to exercise discretion, and the operation of various software applications is required.

Duties & Responsibilities

  • Coordinates information from various sources for the development of promotion packets including but not limited to curriculum vitas (CVs), University and hospital files, and websites with records of faculty publications for faculty promotion packets.

    Includes assisting with obtaining evaluations of faculty lectures.

    Includes tracking and recording research activities of faculty being reviewed for promotion.

    Works in conjunction with the Office Administrator to determine missing information from salaried and non-salaried promotion packets and directly requests information from faculty.

    Arranges Department meetings of the Department Promotion and Tenure Committee including assisting the Chair in recruiting members, gathering confidential ballots, taking minutes, and tracking and recording outcomes for reporting purposes to the College Promotion and Tenure Committee.

    Responsible for coordinating the logistical arrangements of the Department of Medicine CME activities, to include such duties as keyboarding and submitting CME documents (independently composing the drafts of the CME yearly proposal, quarterly CME progress reports and weekly session reports), maintain the confidential records related to the CME activity, coordinate completion of and submission of required CME forms from weekly presenters, correspond with presenters who require travel, researching the most economical airfare and hotel, and then making the hotel and/or air travel arrangements for speakers, prepare honorarium payment requests, which contains confidential and sensitive information regarding the presenter, utilizing the approved UIC travel and expense system.

    Track and record expenses for the Grand Rounds budget and advises the CME Activity Director on remaining funds.

    Assists in the creation of drafts of the specialized announcements and Grand Rounds Evaluations, for internal and external audiences, distribute Grand Rounds Evaluations after each weekly session.

    Manage all aspects of MicroSoft Teams participation during the weekly Grand Rounds sessions, including creating the Teams link for sessions, distributing the link to Grand Rounds attendees, starting the Teams session during each weekly session, and managing the Teams audience/chat during each weekly session

    Serve as AV support to the presenters during Grand Rounds and provides necessary materials and assistance to each presenter. Manage a process for weekly attendance.

    Reviews incoming mail for the CME Activity Director and responds to items within the scope of responsibility.

    Assist with the Department promotion and tenure process by distributing Peer evaluations regarding each weekly presenter to students, residents and Faculty attendees, and then submitting completed Peer evaluations to the Department Office Manager who works on Promotion Packets.

    Further assists with the promotion and tenure process on an as-needed basis by providing the number of times promotion candidates have presented at Grand Rounds during a 5 year period.

    Serves as a liaison between academic (UICOMP) and OSF SFMC departmental Activities, and

    Qualifications:

    Minimum Qualifications

    1. High school diploma or equivalent.
    2. Two (2) years (24 months) of work experience comparable to the third level of this series.


    Preferred Qualifications
    Experience in transcription relating to the medical field is preferred.

    Prefer to have working knowledge of Microsoft Office Software.
