THE POSITION

The Department of Health is looking for a highly motivated individual with an attention for detail. We have an opening for a Clerical Assistant 2 within the Bureau of Health Statistics and Registries, Division of Vital Records. If you have clerical experience, this may be the position for you.



DESCRIPTION OF WORK

The Clerical Assistant 2 in this position will provide consumer support telephonically, by email, and online chat in response to consumer requests to place orders for certificates of vital events or to inquire about the status of orders previously placed. You will apply knowledge of the Vital Statistics Law of 1953 and Title 28 to the nuances of specific situations to provide consumers with immediate and accurate guidance on issues such as but not limited to:

* Vital event certificates available to consumers and the requirements surrounding the application process
* Eligibility and appropriate documentation to apply for certificates of vital events
* Identification verification
* Payment of fees

The person in this position will, at all times, maintain the confidentiality of information contained in vital records. When interacting with consumers, be vigilant not to divulge information, especially when they may be a parent, relative, or friend, but not an eligible applicant. Use discretion in each consumer interaction. You will de-escalate situations when a consumer becomes inpatient or angry about access to records or certificates or wait times.


This position may be given an assignment to support the public health emergency response mission of the Department of Health. Emergency assignments could at times be received with little or no advance notice, and may continue for any period of time - ranging from a few hours to several weeks, depending on the nature of the circumstance. The emergency assignments may at times be performed under adverse conditions and may require travel to another site other than the employee's assigned headquarters for a period of time.

Work Schedule and Additional Information:
  • Full-time employment.
  • Work hours are 7:00 am to 3:00 pm, Monday - Friday, with a 30-minute lunch.
    • This position will have two to three week minimum of mandatory on-site training.
  • You may have the opportunity to work from home (telework) full-time. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in New Castle.
  • Salary: Selected candidates who are new to employment within the Commonwealth of Pennsylvania will begin employment at the starting annual salary of $35,306 (before taxes).

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • Six months as a Clerical Assistant 1 (commonwealth title); or
  • Graduation from high school; or
  • An equivalent combination of experience and training.
