As a Program Operations Coordinator...

  • Your primary responsibility will be to provide operational, management, and administrative coordination across all areas of Program execution.
  • You will work in conjunction with the Program Manager (PM) to identify operational tasks (Schedule, Risk, Quality, Communications, etc.) and develop approaches to focus on priorities. You will monitor landmarks and ensure on-time delivery of contract deliverables. You will aid in the development of standard operating procedures (SOP) to ensure project deadlines and sponsor requirements are satisfied. Analyze and detect potential deviations in project plans based on the latest information available.
  • You will prepare and coordinate information for internal and external program and project reviews, including content and editorial review of technical materials prepared by technical staff.
  • Plan, coordinate, and support meetings and conferences/seminars for both internal and external participants and sponsors. Collaborate with sponsors and their representatives to collect presentation information, ensure clearances are prepared, coordinate scheduling, reservations and all other logistics, and attend meetings to prepare summary and note action items.
  • You will work with other JHU/APL organizations (security, quality, communications, procurement, contracts, etc.) to coordinate various levels of support and ensure successful execution.
  • You will help to establish and manage the proposal development timeline in conjunction with the Financial Manager. Coordinate technical inputs and applicable technical review. Responsible for the overall quality of the final submission.
  • You will collaborate with the Financial Manager to foster a highly communicative and collaborative business operations team.
  • You will develop an understanding of the technical work being performed by the program and be able to convey the methodology, impact, and importance to others. Assist in the development of the Statement of Work (SOW) and ensure adherence to the SOW through coordination with the Program Manager and technical teams.

Qualifications

You meet our minimum qualifications for the job if you...

  • Possess a BS Degree in a business related field, relevant professional level experience may be substituted.
  • Have at least 2+ years of demonstrated experience in program administrative support or technical support positions.
  • Possess experience with MS Office to include MS Excel, Word, and PowerPoint.
  • Are willing and able to work on dynamic projects, have the ability to prioritize numerous concurrent tasks in a dynamic environment, and work occasional extended hours or travel as needed.
  • Are able to obtain a Top Secret level security clearance. If selected, you will be subject to a government security clearance investigation and must meet the requirements for access to classified information. Eligibility requirements include U.S. citizenship.

You will exceed our minimum requirements if you...

  • Have technical or engineering background or experience.
  • Have experience with contracts, subcontract management and/or developing proposals.
  • Are knowledgeable and experienced with APL financial management systems and processes.
  • Are able to obtain a Top Secret/SCI with Poly level security clearance. If selected, you will be subject to a government security clearance investigation and must meet the requirements for access to classified information. Eligibility requirements include U.S. citizenship.

The referenced pay range is based on JHU APL's good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level with consideration for internal parity. For salaried employees scheduled to work less than 40 hours per week, annual salary will be prorated based on the number of hours worked. APL may offer bonuses or other forms of compensation per internal policy and/or contractual designation. Additional compensation may be provided in the form of a sign-on bonus, relocation benefits, locality allowance or discretionary payments for exceptional performance. APL provides eligible staff with a comprehensive benefits package including retirement plans, paid time off, medical, dental, vision, life insurance, short-term disability, long-term disability, flexible spending accounts, education assistance, and training and development.
