Job Summary

The Academic Programs Manager reports to the Associate Dean of the Graduate Division and manages program progression, communicates policies, creates reports and communicates with Program Administrators and Directors. This position also serves as a thought partner to support the Associate Dean with program and policy requirements. The Academic Program Manager also plays a critical role in annual maintenance and reporting.

This position records and audits graduate program progression events and milestones, and also manages and enforces policies and reviews exceptions. The Academic Programs Manager works closely and communicates effectively with graduate program administrators and the Registrar to address questions regarding progression events and ensures proper processes and data recording. This position works closely and collaborates with the other Academic Programs Manager to review and approve dissertations, support internal fellowships awards processes and other academic procedures.

The Academic Programs Manager supports the Associate Dean with planning of the annual RCR training workshops and assists all program reviews.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $97,900 - $149,000 (Annual Rate).

Department Description

The Graduate Division functions as the institutional home for graduate education and postdoctoral training at UCSF, offering 20 PhD programs in basic, translational, and social/population sciences; 13 master's degree programs; and two professional doctorates serving more than 1,000 students and 1,100 postdoctoral scholars. The Graduate Division serves as the primary advocate for graduate students and postdocs and promotes excellence in all graduate and postdoc training programs.

Required Qualifications


  • Bachelor's degree in related area and / or equivalent experience / training
  • Minimum of 5 years of related experience and/or equivalent experience/training
  • Advanced knowledge of common organizational- or research-specific and other computer application programs
  • Strong communication and interpersonal skills to communicate effectively with all levels of staff and influence, both verbally and in writing
  • Ability to use discretion and maintain all confidentiality
  • Ability to multi-task with demanding timeframes
  • Advanced analytical / problem-solving skills
  • Skills in monitoring / assessing people, processes or services, to make improvements
  • Advanced verbal and written communication skills

Preferred Qualifications


  • Advanced project management skills
  • Thorough knowledge of organizational or initiative processes, protocols and procedures
  • Advanced knowledge of applicable policy analysis techniques
  • Knowledge of common Graduate Student policies and procedures
