Position Summary Information
Primary Purpose |
Under general direction, the Business Support Specialist I is responsible for supporting the Business and Finance Manager in coordination of contracts and maintenance agreements evaluation, and administrative support for a large department in fulfilling Division objectives and requirements. In support of daily operations, this position includes implementation of projects and tasks that advance the state of technology at the university. |
Essential Functions |
- Supports the procurement life cycle of Pacific Technology acquisitions including processing requisitions, approvals, check requests, purchase orders, renewals and credit card purchases.
- In collaboration with the Business and Finance Manager and Business Support Specialist II will work within the given budget to purchase goods and services.
- Coordinates the evaluation of all University contracts and maintenance agreements in partnership with the Division Business Support Specialist II and University Procurement Office.
- Supports the review of all Technology Division contracts, renewals and maintenance agreements in partnership with the Division Business Support Specialist II and University Procurement Office.
- Arranges travel for all staff, including airline, hotel, car rental and expenditure reimbursements.
- Prepare and analyze timely reports for the Business Office.
- Supports projects, initiatives and activities that impact the Division and the Business Office.
- Assists in development of electronic spreadsheets and reports to facilitate planning and decision-making, including but not limited to contract turnaround time, and staff training.
- Maintains office filing system including hardcopy system, electronic system and various databases. Responsible for maintaining records, preparing forms and verifying information as needed.
- Answers telephones and resolves routine inquiries; trains and assigns work to staff or student workers.
- Is responsible for facility and space needs. Will create tickets for repairs and work with facilities as needed.
- Manages Technology Business Office ServiceNow tickets, collaborating with team members as needed.
- In collaboration with the Business Support Specialist II, manages the reconciliation process for all Division monthly Procard statements and submission to University Procurement office.
- Will assist with maintaining the Business Office ledger with all company purchases and correlating information for each purchase and routinely audit for accuracy.
- Maintain positive working relationships with vendors, customers, colleagues and key University constituents.
- Performs miscellaneous duties as assigned or requested.

Minimum Qualifications |
- Two (2) years of post high school education.
- Two (2) years of experience performing related business functions.

Preferred Qualifications |
- Bachelor's Degree
- Three (3) years of work experience supporting business operations in procurement and other related business processes.
- Higher Education work experience.
- Knowledge of business and project management principles and techniques.
Skills/Knowledge/Expertise:
- Proficiency in Office programs such as Excel, Word, and Outlook.
- Ability to identify opportunities for improvement and set well-defined goals related to use of best practices or innovation.
- Orchestrate efforts, measure, and report on progress; achieve goals and produce exceptional results.
- Demonstrated experience with developing process flow charts and identify efficiencies using lean methodologies.
- Computer skills sufficient to query large data stores, verify data integrity, and organize results in a meaningful way.
- Ability to perform duties using highest level of confidentiality and respect for others.
- Excellent writing skills sufficient to draft clear and concise professional reports and correspondence.
- Strong organizational skills to work independently and to prioritize workload under the pressure of competing assignments.
- Positive attitude, proven ability to work successfully with diverse populations and demonstrated commitment to promote and enhance diversity and inclusion.
- Experience and sensitivity in working with people of diverse backgrounds and cultures.
- Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.

Requires extended periods of sitting and repetitive hand/wrist motion while using computer keyboard and phone. Frequent standing, walking, climbing stairs, bending, stooping and reaching. Occasional lifting up to 25 pounds.
Work Environment/Work Week/Travel:
Work is performed in a standard office environment. Work performed during standard business hours. Infrequent travel between central IT division office and buildings in Stockton, San Francisco and Sacramento campuses.
Valid driver's license required. Incumbent must also be able to meet the University's fleet rules and be eligible to drive for University business. The University and its insurance carrier reserves the right to exclude applicants based on their driving record. |
Hiring Range |
$22.03 - $25.00 per hour. We consider factors such as, but not limited to, scope and responsibilities of the position, candidate's qualifications, internal equity, as well as market and organizational considerations when extending an offer. |
