Job Title: P3 Support Administrator Location(s): Los Angeles, CA Ability to comprehend contract language, implement and apply as needed to ensure contract deliverables and compliance are achieved. Perform general office duties for Operations & Maintenance (O&M) contract sites, which requires knowledge of company and P3 departmental procedures. Duties performed may include file organization and maintenance, operation of office equipment, answering telephone and greeting visitors. Process accounts payable invoices, maintain safety records, manage on-site Worker's Compensation files as needed, assist with payroll issues and management of Computerized Maintenance Management System (CMMS). PRINCIPAL DUTIES:
QFM (Maintenance Planning / Scheduling) * Create and maintain CMMS database including equipment history and status, add notes, generation of work orders, management of budget projection data, inventory tracking system, purchasing module and overall operation of CMMS system. * Create and process, update work orders * Review and update maintenance and operations standard operating procedures Financial & Contract Management * As necessary prepare contract booking documents such as subcontracts, PO's, invoice collection and tracking, and other finance related matters. * Perform simple account balancing and reconciliation. * Create POs, process invoices and related matter * Assist with contract requirements at various P3 locations to include joint inspections, PO/Finance management and other workflow tasks. * Develop and deliver Contract Deliverable Requirement (CDR) document creation for various projects. Inclusivity: * Be a back up to update B2Gnow, LCP tracker and submission of necessary reports Other: * Attend and document meetings during all project phases at various sites. * Compose various forms of correspondence, forms and reports from records, rough drafts or various sources. * Post information to records and logs. Perform simple account balancing and reconciling. * Organize and maintain various filing systems to include SharePoint. * Respond to telephone calls and greet visitors at site locations. Direct calls, take messages or provide callers or visitors with routine information. * Operate office equipment including computer, facsimile and copy machine. * Proofread work for errors and make corrections as needed. * Provide other research, finance, contract management and admin support functions as needed. * Perform other duties necessary to provide general administrative support to the O&M team.
