Administrative Assistant III - Surgery

Description

The Departments of Surgery, Urology and OBGYN are seeking to hire a full time Administrative Assistant III. in this role you will provide administrative support to the Director of Clinical Trials for the Departments of Surgery, OBGYN, and Urology.

Responsibilities of this role can include but are not limited to:

  • Managing calendars, scheduling and planning meetings
  • Answering multiple phone lines and directing calls appropriately
  • Developing spreadsheets and tracking mechanisms for a variety of process and task.
  • Coordinating purchasing
  • Interfacing with IT
  • Assisting with human resources and employee onboarding responsibilities
  • Special interdepartmental research projects as assigned.
Pay Range: $29.42 - $42.14 hourly
Qualifications
  • Demonstrated proficiency in organizing and prioritizing assignments on a continual basis despite challenges
  • Extensive skill in coordinating program needs to consistently meet deadlines and in fulfilling requests with a sense of immediacy
  • Demonstrated skill in data entry with a high degree of speed and accuracy
  • Master level of skill in MS Word, Outlook, Excel, PowerPoint, Access, Acrobat
  • Demonstrated level of skill in preparing, proofreading and editing documents for grammar, spelling, punctuation and syntax
  • Extensive experience in standard medical office practices, including confidentiality issues.
  • In-depth knowledge of standard business office practices, including equipment usage, policies and procedures
  • Demonstrated ability to work independently with minimal supervision, using appropriate troubleshooting, problem solving and critical thinking skills
  • Ability to establish, foster and maintain working relationships on a variety of levels throughout the organization.
  • Demonstrated ability to assume high degree of responsibility, as scope of work may impact direct patient care
  • Ability to use quality, independent judgment particularly as it relates to sensitive business and clinical issues
  • Outstanding ability to communicate with tact and diplomacy
