Job Summary The anticipated duration of this assignment is approximately 3 months.
Under supervision of the Administrative Nurse Manager and MA Supervisor, guided by policies and procedures of the Ambulatory Services, and in collaboration with the Clinical Nursing Staff, the Hospital Assistant III assists in the delivery of care to patients in multiple Cancer Center ambulatory group practices. This position supports the various cost centers within the Cancer Center, multiple campuses, and satellite offices. Work includes a variety of personal care and nursing procedures including assuring positive care outcomes. They will perform assigned patient care and laboratory procedures in support of the specialty care services provided to patients within the practices. They are required to learn and be able to assist in all Cancer Center specialty practices. S/he is required to adhere to the Telephone and House Standards as adopted by the Medical Center.
Key Responsibilities:
Utilizes Clinical Knowledge in Practice and Infusion Settings through:
- Validate and document patient-reported information.
- Obtain, report, and document vital signs.
- Follow established safety, environment, and infection control standards.
- Perform routine clinical functions, including vital signs, height, weight, pain screening, and documentation of chief complaints.
- Document the use of interpreters and facilitate interpreter participation for medical appointments (in person, by video, or by phone).
- Assist with medication reconciliation by helping patients update their medication lists.
- Assist nurses and providers in preparation for exams and/or procedures.
- Perform sterile processing procedures in outpatient clinics (e.g., Cidex OPA) and maintain appropriate logs.
- Assist in complex medical procedures (e.g., Laser, TRUS, Colposcopy, Anoscopy, IRC) and complete all competencies for training and skill.
- Act as a chaperone for medical providers as needed.
- Work as a float for all Cancer Center practices.
- Transport patients as directed and ensure their safety.
- Monitor patient flow in and out of the clinic.
- Obtain specimens and perform simple Point of Care Testing (including QA/QC and EKGs).
- Perform simple laboratory procedures while conforming to specimen handling and processing policies.
- Participate in updating mandatory logs (e.g., temperature log, disaster cabinet log, crash cart log).
- Complete referrals to other providers as ordered by the physician.
- Obtain authorizations from insurers for medications.
- Perform clinical activities accurately and timely.
- Assist physician staff in writing and sending patient communications.
- Comply with all Ambulatory Services and Medical Center policies and procedures, including JCAHO/Title 22 requirements.
- Complete annual competency testing.
- Ensure medication cabinets remain locked at all times.
- Collaborate with all practice team members to coordinate patient care.
- Demonstrate courtesy, common sense, and follow-through in telephone communications, maintaining Medical Center Telephone Standards.
- Uphold House Standards to ensure a professional and helpful working environment.
- Notify providers of patient delays and service issues; advocate for timely provider punctuality.
- Communicate provider delays with the front office team and make announcements to the waiting room if delays exceed 30 minutes.
- Share pertinent information and observations with health team members.
- Identify and communicate problems to nursing staff or appropriate supervisors.
- Offer suggestions for improvements in clinic/practice operations.
- Assist patients with issues and complaints using conflict management skills.
- Coordinate care and resolve patient care issues using Mercury Messaging phones.
- Utilize Electronic Health Record (APEX) for documentation, including:
- Vital signs, height, weight, and pain scale.
- Patient chief complaint and history (e.g., tobacco/family history, medications/surgeries/social).
- Patient-reported medications and allergies.
- Order and sign Point of Care Testing with signed protocol.
- Document Point of Care test results.
- Enter and "pend" scripted orders from providers.
- Open Medication Refill Encounters for providers.
- Schedule laboratory, radiology, and other tests with written orders from providers.
- Open telephone encounters and staff messages.
Operations Maintenance - Other Duties as Assigned:
- Maintain clean, well-stocked exam rooms, hub rooms, and lab.
- Order and maintain supplies; manage lab equipment.
- Review lab log results and print results for providers as requested.
- Obtain insurance authorizations for medications, procedures, and film or slide reviews.
- Schedule complex procedures and coordinate services for patients.
- Assign Hospital Assistant lunches and ensure clinic coverage.
- Maintain supply standards as directed by nursing staff or supervisors.
- Adhere to infection control procedures in the Infection Control Manual.
- Follow Ambulatory Services policies for cleaning, disinfecting, and sterilizing equipment.
- Participate in QI and customer service initiatives (e.g., wait time studies, outcome data collection).
The final salary and offer components are subject to additional approvals based on UC policy.
Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. Department Description UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.
Required Qualifications
- AHA BLS Certification
- 6 months relevant Medical Assisting experience
Preferred Qualifications
- One year's experience as a Hospital Assistant in a medical practice.
- Experience with insurance verification, medical record data abstraction, medical assisting, or patient financial services strongly preferred.
- Degree from accredited medical assisting school.
- Bi-lingual or multi-lingual capability (Spanish, Cantonese, Russian) strongly preferred.
- Current State of California Phlebotomy Certification (CPT1)
