JOB TITLE: Sales Coordinator

REPORTS TO: Director of Sales

DIVISION: Sales Department

LOCATION: On-site and Remote (Hybrid)

CLASSIFICATION: Full-Time/Year-Round/Hourly

POSITION:

The Sales Coordinator is responsible for bringing in group and event sales, primarily weddings, but also corporate groups and ski groups. They will be responsible for coordinating lodging, food and beverage, venue space, lift tickets, activities, etc, and communicating group details to the appropriate resort departments, in a manner that enhances the overall Solitude Mountain Resort experience.

SPECIFIC JOB REQUIREMENTS:

  • 2-4 years of wedding sales, travel, hospitality, or ski industry sales experience preferred.
  • Be available for a varied work schedule and additional time as workload dictates, including nights, weekends, and holidays.
  • Organized, self-motivated, reliable, and multi-task oriented.
  • Excellent verbal and written communication skills.
  • Must deliver quality and exceptional customer service.
  • Must be able to navigate stressful situations with diplomacy and tact.
  • Intermediate or advanced ski or snowboard ability and valid driver's license required.
  • Valid US Driver's License and clean motor vehicle record
  • Proficiency in Delphi/Salesforce, MS Office, Excel, Inntopia, Springer-Miller System, RTP and general computer use preferred.
  • Ability to work outside in the winter and summer under varying conditions.
  • Ability to travel out-of-state as needed.
  • Ability to align decision making with company values, strategies, and goals.


JOB DUTIES AND RESPONSIBILITIES:

  • Identify qualified wedding and business prospects; initiate, develop, expand relationships in the wedding segment. Convert prospective clientele into committed Solitude customers through in-office visits, property tours, and proactive communication.
  • Have a thorough knowledge and understanding of all Solitude products.
  • Present, negotiate and successfully sell lodging, food and beverage, and resort services products/programs to Wedding groups and other groups as assigned.
  • Schedule and host tours, including on-mountain, venues, and lodging properties
  • Send introductory emails to all confirmed guests assigned.
  • Return calls/inquiries from clients within 24 hours.
  • Process signed guest contracts and deposits and all payments.
  • Attend weekly sales meeting and bi-weekly one on one with the Director of Sales.
  • Coordinate between all departments to create the best and most cohesive experience for groups.
  • Effectively communicate with all departments any group requests or needs including: Sales, Food and Beverage, Front Desk, reservations, Housekeeping, Rentals, Group ticketing, facilities, grounds, lift ops and any additional internal or external partners to ensure the success of the group.
  • Assist Sales and Events Department with administrative work as assigned, such as room blocks, lodging links, contract filing, monthly settlement reports and qualifying inquiries through Delphi, Wedding Wire, and company sales email.
  • Assist with development and maintenance of Solitude Weddings websites and social media if needed.
  • Promote visibility of the resort through active involvement in industry associations, events, and trade shows.
  • Attend wedding shows, conferences and industry events. (Travel required)
  • Establish relationships with the community, professional organizations, and the Chamber of Commerce.
  • Provide support to event day staff and group schedule when needed.
  • Other duties as assigned.

PHYSICAL DEMANDS AND WORKING CONDITIONS:

This position will be required to work evenings, weekends and holidays.

Office Environment:

  • Able to lift, carry, or otherwise move and position a minimum of 50 pounds on an occasional basis.
  • Manual dexterity to operate a computer and other common office equipment on a constant basis.
  • Auditory and visual acuity to operate computers, phones, mobile devices and basic office equipment on a constant basis.
  • Ability to work for extended periods of time sitting, bending, reaching, and speaking on a constant basis.
  • Ability to work for extended periods of time standing, walking, kneeling, pushing and pulling on an occasional basis.
  • Talking and hearing occur continuously in the process of communicating with guests, supervisors and other employees.
  • Intermediate or Advanced Skiing/Snowboarding skills preferred.
