Assist in the direction and administration of all Road Scholar programs, including the planning, development, and executing itineraries for all Road Scholar programs. The Associate Director recruits, hires, trains, and supervises all part-time/seasonal instructors, group leaders, bus drivers, and special lectures; this position is responsible for managing the Road Scholar office and associated HR/Payroll paperwork connected to these employees. This position also coordinates emergency protocol or evacuations when participants have an accident, health issue, or transportation breakdown. The position requires demonstrated organizational, time management, and people skills to be effective.

Responsibilities
-
- Assist Road Scholar Director in planning, organizing, and supervising Road Scholar programs.
- Plan the program schedules, including scheduling facilities, instructors, buses, drivers, hosts and assistants. Create yearly calendar of assignments. Maintain good communication at all times; research new ideas and recommend changes as needed.
- Recruit, hire, train, and supervise group leaders, bus drivers, and special lectures. Plan ongoing training sessions and special events.
- Serve as a liaison between UT Road Scholar and the Boston Road Scholar office. Coordinate emergency protocol or evacuations when participants have an accident, health issue, or transportation breakdown.
- Demonstrate exceptional organizational, time management and people skills. Set goals, prioritize, make decisions, communicate and delegate. Initiate a positive tone for the whole office.
- Manage Road Scholar office, receptionists, HR paperwork, and bi-monthly payroll transactions.
- Perform other duties as assigned.

Qualifications

- Bachelor's degree in Management, Marketing, Business Administration, or related field required; Master's degree preferred.
- At least three years' related experience required.
- Ability to oversee programs, from planning/inception to implementation/carry-out, as well as post-trip assessment. This includes planning both large-scale and small details.
- Good organizational and coordination skills, with ability to coordinate various deadlines and project assignments.
- Good computer skills with word processing, spreadsheets, databases, and university operating systems.
- Good knowledge of book keeping, financial recordkeeping, financial and payroll transactions, reconciliation of budget vs. actual, etc.
- Ability to communicate effectively and exercise important human relations skills in establishing and maintaining effective working relations with participants, employees, and the public.
- Ability to work a variable schedule, based on peak travel schedules for Road Scholar programs. Ability to be on-call during peak travel seasons to assist with emergency management protocol.

POSITION DETAILS, COMPENSATION AND BENEFITS: Full-time overtime-exempt staff position. Annual salary of $55,000-$60,000 depending on qualifications and experience. Desired start date of January 2025.
