Job Summary

The incumbent assists with more than 20 clinical research studies, acting as a liaison between the Research Clinic and study personnel, and interacting with research families participating in studies. This position is responsible for day-to-day operations in the Alzheimer's Disease Research Center (ADRC) and for research database creation and maintenance that support clinical research staff and faculty in carrying out the research mission of the ADRC. This position is responsible for scheduling and following up with all enrolled ADRC participants. The position is responsible for assisting in creation and approval flyers for clinic research studies, brochures for programs, and promotional materials for events. This position will provide administrative support with purchasing for the ADRC's research studies and submission of reimbursements for the research studies, compiling and preparing data and information for meetings, and annual reporting to sponsors, the IRB, and leadership.

This position is an administrative resource for ADRC Institute faculty, staff, trainees, and visitors. The incumbent also assists with planning, management, promotion, and execution of internal and external events for the ADRC. The incumbent provides event design and budget reports to the faculty lead, Clinical Research Manager, or Director. The incumbent, in collaboration with the administrative team, determines vendors best suited to meet the requirements of the event and facilitates the scheduling of event space and completes purchasing for event related items. And the incumbent provides mentorship to volunteers, students, and less experienced event staff.

Lastly, this position serves as the building coordinator for the ADRC and proactively resolves facilities and operations issues.

Minimum Qualifications

  • CITI Certification for Biomedical Researchers and Good Clinical Practice (GCP) within 3 months of hire.
  • High school diploma/GED or equivalent experience
  • Experience interfacing with the public.
  • Experience calendaring and scheduling complex projects with competing priorities.
  • Experience working in a research clinic environment.
  • Ability to demonstrate good interpersonal and communication skills including tact, diplomacy, flexibility, professionalism and hospitality with staff, trainees, faculty, visitors, other UCD/UCDH departments and outside vendors.
  • Ability to establish a friendly, welcoming environment for individuals requesting information; maintain a courteous and calm demeanor, and to use a proactive approach to negotiate and persuade others to take required action.
  • Organizational skills and attention to detail in maintaining multiple projects and large volumes of data. Independently assess and organize workload priorities in an appropriate way to accomplish a task or goal.
  • Ability to maintain composure, efficiency and a positive, customer service-oriented manner during periods of peak workload, with frequent interruptions, under tight deadlines, and when interacting with challenging customers.
  • Advanced computer literacy including proficiency with the following programs: Adobe Suite, and Microsoft Office,.
  • Ability to be flexible and work effectively as a team member and independently with minimum supervision.
  • Ability to independently recognize, define problem and identify resources to assist the customer in solving the problem.
  • Possess written and oral communication skills to clearly and concisely share information, explanations and instructions to, and to elicit information from others with varying levels of ability to understand, including individuals who may not speak English.
  • Knowledge of legal and ethical guidelines, including the maintenance of confidentiality and privacy of information. Ability to maintain confidentiality of sensitive matters, and to exercise discretion in dealing with controversial or potentially sensitive topics.

Preferred Qualifications

  • Bachelor's degree in related field or equivalent experience.
  • Experience with working with human subjects research projects and the UCDH Institutional Review Board
  • Experience with creating, editing and managing data dictionaries in REDCap.
  • Experienced professional with thorough knowledge and understanding of concepts, principles and practices of event planning, including event design, organization, and production, including maintaining a budget.
  • Experience planning and managing complex events involving guests from multiple sources such as other public institutions, research institutions, private sector interests, and alumni.
  • Bilingual in Spanish and English
  • Experienced professional with thorough knowledge and understanding of concepts, principles and practices of event planning, including event design, organization, and production, including maintaining a budget.
  • Ability to independently determine appropriate UCD/UCDH procedures and selection of methods for implementation of UCD/UCDH policy.
  • Ability to perform assignments independently using good judgement to navigate novel situations.
  • Knowledge of ADRC Administration, Research and Clinic, UCD/UCDH and School of Medicine goals and objectives required.
  • Knowledge of UCD/UCDH graphic and publication standards
  • Knowledge of University policies and procedures relating to the use of university facilities, event management and presentation, including crowd management and safety protocols.

Department Overview

The Department of Neurology conducts basic and clinical research on the nervous system and provides clinical care for people with neurological disorders, such as Alzheimer's Disease and other forms of dementia, epilepsy, movement disorders like Parkinson's and Huntington's Disease, tremor, dystonia, multiple sclerosis, neuromuscular conditions, headache, and sleep disorders.

Our faculty includes leading neuroscientists, who work to expand our knowledge of nervous system function, as well as neurologists and psychologists who provide diagnosis and treatment for adults and children. We partner with colleagues from throughout the health system and work closely with the Department of Neurological Surgery to provide multidisciplinary team management for nneurological disorders. We also offer cutting-edge diagnostic approaches, including advanced neuroimaging technologies and access to trials of new medications and other therapeutic modalities.
