Position Description

Analyzes and coordinates office services such as personnel, budget preparation and control, fiscal affairs, equipment utilization, records control, and special management studies. As an Analyst - Record Management Specialist in Gifts and Records management you will manually update information in the database dedicated to TTU/TTUHSC alumni and donors. You will conduct research using various online tools and resources to obtain current biographic information on individuals and businesses. You will collect and compile gift documents and manually enter donations into the database. Accuracy and attention to detail are a priority.

About the Department and/or College

The Gifts & Records Management team is dedicated to accurately managing gift and contact information for Texas Tech University alumni and donor records. This team oversees creating new constituent records, manually managing demographic information, and collecting and processing donations to Texas Tech University System institutions. Our efforts assist in building scholarships, endowments, and other funds to support the university departments and other agencies.

Major/Essential Functions

Batch, annotate, and reconcile gift transactions to record in the Advance database with database allocations related to respective Banner FOP, source, and/or special handling and initiate corrections to Advance database and/or Banner Accounting System if necessary.

Read source documents, such as checks, credit card reports, and data files, and manually enter data into the Advance database accurately and efficiently to ensure timely processing of all gifts and pledges, biographic updates, and special projects.

Maintain data integrity by running integrity checks, correcting errors daily, and keeping a gift error percentage below 2 percent.

Utilize online research resources including Banner Student to verify and acquire updated information for constituent records in the Advance database and work with schools, departments, and staff to verify and resolve gift and biographic issues related to departmental needs.

Manually input assigned affiliations, committees, awards, and student activities as assigned.

Required Qualifications

Bachelor's degree in job related field plus one year of related experience; OR a combination of related education and/or experience to equal five (5) years.

Preferred Qualifications

Proficiently operate a 10 key calculator, phone answering skills at a professional level. Knowledge of the Banner Accounting System. General office skills.

Minimum two years back office related functions with an emphasis in accounting, banking and/or cash management. Intermediate to advanced experience with Microsoft Office products (Word, Excel, Outlook, etc.). Be able to perform all tasks with a high degree of proficiency, accuracy and timeliness.
