Job Summary

Coordinates the logistics and material management programs for the center/department including, shipping and receiving, inventory controls, procurement planning and execution, materials handling and tracking/maintaining activities. Provides support for equipment deployment activities as needed.

  • Partners with operations and project teams, and participates in project kick off/status update meetings to identify and communicate logistical services needs to ensure appropriate readiness levels.
  • Assists in developing project related quotes and logistical requirements for proposal and project planning efforts. Maintains records related to projects and cost estimates.
  • Provides support for tracking project related material movement and customer communications.
  • Provides material and equipment pricing research, procurement planning and execution activities in accordance with project requirements and university policies.
  • Manages and maintains the inventory database systems and audit activities including inventory cycle counts, logs adjustments, and reconciliations, and routine/ADHOC reporting in accordance with defined schedules and needs.
  • Provides support for technical assistance/annual gear review and recommendations to the government customer for course of action for future activities.
  • Oversees and coordinates the center/department shipping and receiving activities (parcel post, express, freight/cargo, etc.) including delivery acceptance, damage inspection, Bill of Lading (BOL) preparation/review, shipment/transfer paperwork preparation, disposition tracking, and status communications to requestors. Ensures receiving documentation complies with contract and legal requirements.
  • Oversees and carries out compliance of shipping and handling regulations/requirements for dangerous goods/hazardous materials (domestic and international) U.S. Code of Federal Regulations, Title 49 (CFR 49), International Air Transport Association (IATA), and International Traffic in Arms Regulations (ITAR).
  • Partners with accounting/finance and contracts administration for disposition and classification of received materials and equipment (real property, consumable, government furnished equipment, etc.), as well as tagging/tracking of government furnished equipment (GFE) and FIU assets.
  • Oversees Unique Identifier (UID) requirements and maintains UID system and materials.
    Identifies vendors for organizational shipment needs (parcel post/express/freight/cargo) and establishes service agreements as needed.
  • Liaises with vendors for General Services Administration (GSA) pricing, Risk Management Agency (RMA), and/or various tracking, communication and troubleshooting issues. Coordinates and tracks work orders, repairs, and maintenance.
  • Performs coordination and backup support for equipment and/or materials location, movement, and shipping preparation using warehouse tools such as pallet jack, forklift, and wrapping/strapping equipment.
  • Coordinates and oversees the work assignments and duties for the logistics team and ensures timely and accurate work output in support of project and departmental requirements.
  • Provides supervision for the logistic/government property personnel.
  • Performs essential duties in any emergencies such as hurricanes, storms, and/or any other university emergency closing. The employee is expected to be available to report to work as needed during university emergency closing with appropriate notification of a department administrator.
Minimum Qualifications

Bachelor's degree in appropriate field and three (3) years of relevant experience; OR seven (7) years of relevant experience ; OR an equivalent combination of relevant education, experience, and/or vocational/technical training.
Departmental Requirements

Eligible for a Department of Defense secret clearance.

Desired Qualifications

  • International Air Transport Association (IATA)/Export control experience or certification.
  • Experience in procurement/vendor management/purchasing.
  • Logistics experience in defense/military and government property systems such as GOLD and the Defense Property Accountability System (DPAS).
