TITLE Flight Coordinator JOB SUMMARY This position is responsible for tracking all flight related activity for TWU Flight Students. The flight coordinator will work with Chief Instructor and assist in overseeing aspects of the student aviation training flights. This includes scheduling training blocks, ensuring compliance with aviation training objectives, and ensuring completion. The Flight Coordinator will also be responsible for maintaining flight records, invoicing, and charges for training. The role requires strong organizational skills, excellent communication abilities, and a deep understanding of flight training requirements. The successful candidate will work closely with various departments to ensure that all training needs are met and that the training programs align with the overall goals of the organization. This position offers an exciting opportunity to contribute to the development of aviation professionals and to play a key role in the safety and efficiency of aviation operations within the department. The Flight Coordinator position is critical for monitoring the student billing and reconciling student invoicing. This position will track Federal Aviation Administration (FAA) course completion records. Work is performed under general supervision. ORGANIZATIONAL RELATIONSHIPS Reports to: Director and Associate Director Supervises: May supervise dispatcher employees ESSENTIAL DUTIES - May include, but not limited to the following: * Review and reconcile vendor invoices. * Maintain and monitor various Student Flight Account Balances. * Coordinate and track simulator usage. * Provide confidential communications to each student with flight account balances. * Create system and track all student flight payments. * Monitor and adjust student flight blocks as needed. * Track and communicate scholarship awards to students. * Track FAA Part 141 Course Completion. * Coordinate scheduling for student flights. * Responsible for all aircraft and simulator dispatch function required as part of the TWU FAA Air Agency Certification under CFR Title 14 * 141. * Submit approved vendor invoices to Business Manager for payment processing. * Communicate all student status changes to Chief Instructor as needed. * Provide monthly student status reports. * Hire and supervise dispatch employees. ADDITIONAL DUTIES * Participation in marketing events and activities. * Some travel may be required. * Travel to Denton Municipal Airport as needed. * Performs other duties as requested. EDUCATION Bachelor's degree required. FAA Dispatch Certification or Pilot Certification a preferred. EXPERIENCE Two or more years of experience in accounting/record keeping, preferably in service-related industry or education. Preferred experience in aviation operations, particularly flight, a plus. REQUIREMENT Regular and reliable attendance at the University during regular scheduled days and work hours is an essential function of this position. KNOWLEDGE, SKILLS, AND ABILITIES - The following are essential: * Skilled at keeping detailed records. * Strong organizational skills - detail oriented, ability to prioritize and be proactive. * Ability to work with common record keeping software applications, MS Excel, Google Drive, etc. * Customer service experience - Ability to communicate with people sensitively, tactfully, diplomatically, and professionally at all times. * Ability to multi-task. * Ability to be flexible and deal with change. * Ability to work under pressure with minimal supervision. PHYSICAL DEMANDS The physical demands described in the Essential Duties and below are representative of those that must be met by an employee to successfully perform the essential duties of this job.
