We are seeking a highly organized self-starter to provide administrative support for the System Performance Analysis Group (KBS) within the Force Projection Sector (FPS) of the Johns Hopkins Applied Physics Laboratory. You'll be part of a multi-disciplinary team supporting our Nation's Strategic Weapons Systems and play an active role in team communications and knowledge management

As the KBS Group Administrator, you will...

  • Support the daily operations of the group and provide administrative support in accordance with APL Policies and Procedures.
  • Generate and distribute technical memoranda, working closely between the group and program offices.
  • Oversee the preparation, review, editing, proofreading, publishing, and distribution of memoranda, reports, letters, and presentations.
  • Maintain organized electronic files and logs, and perform quality assurance checks on correspondence.
  • Offer support for word processing, presentation development, and spreadsheet creation.
  • Be the group's leader in onboarding, ensuring new staff have office space, furniture, and IT resources on their first day.
  • Assist the hiring team with resume routing, scheduling phone screens and interviews; You will be working closely with the group's leadership team and providing regular updates to the Group Supervisor.
  • Serve as the group property associate, responsible for inspecting and reporting accountability of items such as computers, lab equipment, and government property.
  • Help staff prepare travel itineraries, submit visit requests, process travel claims, travel authorization forms and expense reports.
  • Manage the groups inventory and order office supplies and equipment.
  • Reconcile weekly procurement card transactions.
  • Organize and manage group shared folders, wiki pages, and Box files.
  • Plan and execute meetings, including reserving spaces, coordinating logistics, confirming staff attendance, and verifying clearance information.
  • Contribute to group morale by planning and supporting special events.
  • Prepare and track fiscal budget requests, allocations, and expenses.
  • Manage the group's incoming and outgoing mail, shipments, and shipment requests.
  • Identify and implement new or improved administrative procedures to enhance the group's productivity and efficiency.
  • Proxy time time-cardsfor staff as necessary.
  • Collaborate with the other administrators within the branch and provide backup support as necessary.
  • Support other tasking related to the overall administrative function for group and branch as necessary.

Qualifications

You meet our minimum qualifications for the job if you...

  • Have a High School diploma (or equivalent) with at least three years of relevant administrative experience.
  • Have exceptionally strong verbal/written communication skills,interpersonal skills (must communicate and work effectively with others)and are able to recognize and correct grammar, spelling, punctuation, and logical organization errors.
  • Have shown a demonstrated ability to work on complex and multiple administrative tasks with little supervision,and willing to take on additional work/challengesand develop new skills.
  • Have the ability to multitask and solve problems, whilepayingattention to detail.
  • Are proficient in MS Office (Word, Excel, PowerPoint, Outlook), and Adobe Acrobat Pro.
  • Areable to work independently and prioritize assignments.
  • Are able to obtain an Interim Secret level security clearance by your start date and can ultimately obtain a Secret level clearance. If selected, you will be subject to a government security clearance investigation and must meet the requirements for access to classified information. Eligibility requirements include U.S. citizenship.

  • Have an Associate's degree.
  • Have previous administrative experience within APL and are knowledgeable with APL practices and procedures, including travel, purchasing, security, and budgetary interactions.
  • Have familiarity with APL staff, sponsors, and programs.
  • Hold an active, final Secret (or higher) security clearance.

The referenced pay range is based on JHU APL's good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level with consideration for internal parity. For salaried employees scheduled to work less than 40 hours per week, annual salary will be prorated based on the number of hours worked. APL may offer bonuses or other forms of compensation per internal policy and/or contractual designation. Additional compensation may be provided in the form of a sign-on bonus, relocation benefits, locality allowance or discretionary payments for exceptional performance. APL provides eligible staff with a comprehensive benefits package including retirement plans, paid time off, medical, dental, vision, life insurance, short-term disability, long-term disability, flexible spending accounts, education assistance, and training and development.
