Job Summary
This position is responsible for academic and staff personnel processes within Internal Medicine for over 250 faculty, 225 staff, and over 200 academic student employees (postgraduate researchers, research assistants, visiting postdoctoral scholars, non-clinic fellows, and undergraduate students). Incumbent oversees academic (non-faculty) and staff recruitment for the Department. Incumbent performs complex administrative analysis in staff and academic personnel administration. Incumbent oversees Visa processing for international scholars and students. - BA/BS or equivalent experience required.
- Experience in applying human resources and payroll policies and practices.
- Experience with MS Word, Excel, Outlook etc.
- At least one (1) year of experience working with Academic and/or HR personnel hiring.
- Analytical skills to evaluate information, practices and procedures, formulate logical and objective conclusions. Evaluate problems and make recommendations for effective solutions.
- Working knowledge in applying human resources and payroll policies and practices
- Knowledge of and ability to interpret and apply UCD P&P Manual, Academic Personnel Manual, Personnel Policy for Staff Members, collective bargaining contracts, Worker's Compensation, Family Medical Leave Act, University policies relevant to sexual harassment, discrimination in employment, employment of foreign nationals near relatives, and pertinent federal, state, and private regulatory agency rules and regulations.
- Verbal and written communication skills to compose clear, concise and grammatically correct correspondence. Ability to interpret and implement written or verbal instructions. Excellent interpersonal skills to communicate effectively with staff, students, faculty, and coworkers, including those individuals for whom English is a second language.
- Exceptional organizational skills, accuracy and attention to detail, ensuring documentation is accurate, complete, maintained in a logical manner, such that workload priorities can be determined in an appropriate way to accomplish a task or goal.
- Ability to maintain confidentiality, exercise discretion, use independent and mature judgement for all personnel and payroll records and sensitive personnel issues.
- Familiarity with or ability to learn personnel regulations governing Staff, Academic Senate, Academic Federation and graduate student titles.
Preferred Qualifications
- Journey level computerized payroll processing experience.
- Experience working with VISAs with knowledge of J1 or HIB visas, including processing of necessary documents for employment of foreign visiting scientists and scholars.
- Thorough knowledge of UC Davis and School of Medicine policies and procedures related to academic personnel and staff recruitment, hiring, and other personnel actions.
- Working knowledge of MylnfoVault, RECRUIT, Outlook.
