The Manager, Pre Invoice is responsible for ensuring that load information for all fuel shipments is accurately entered into the Mansfield Oil system for timely billing as well as lead and develop the department team members.

Responsibilities

Coaching and Mentoring

  • Develop clear goals for staff each year that support company goals and objectives
  • Ensure team members receive adequate training to be successful in their roles
  • Develop a coaching strategy for staff to achieve or exceed goals and objectives
    • Regularly review performance with staff
    • Help staff focus on what is within their control to achieve success
    • Celebrate success
    • Quickly address performance issues in a constructive manner
    • Create positive accountability and follow-up to achieve goals

Departmental Leadership

  • Develop clear vision, goals, and objectives for the department that support company goals and objectives and keep team members focused on high performance
    1. Develop departmental goals for daily loads billed, credit and rebill, and loads scanned
  • Define, develop, and report on key operational metrics that adequately measure performance of the department toward the department goals
  • Implement a strategy for departments to examine and improve key processes used every day
  • Develop clear departmental strategy to achieve operational and financial goals
  • Coordinate team member scheduling and staffing to ensure excellent customer service and response is achieved
  • Provide a regular feedback strategy for the department to evaluate results and make improvements
  • Ensure adequate resource coverage by cross training team members to support all business use cases within the department
  • Manage to the department budgetary P&L
  • Be an active contributor to application systems development activities in a way that will improve the overall performance of the department

Operational Leadership

  • Ensure vendor invoices and files are processed for payment timely and accurately
  • Manage statement process and ensure vendors are paid timely
  • Oversee team processing of file errors and holds to meet daily goals
  • Evaluate order trends to reduce overall outstanding pending orders and errors
  • Manage pending loads process to reduce lift to receipt (L2R) and report on L2R
  • Craft vendor billing SLA's and hold vendors accountable
  • Initiate and direct vendor billing relationships and issue resolution
  • Coordinate with LTL Logistics, Territory Managers, and Payables to ensure a positive experience for our carriers.
  • Hold team members accountable to achieving department goals (ie. lift to turn and credit and rebill goals)
  • Identify, develop, and implement department wide system and process changes to improve overall department performance.
  • Oversee vendor reconciliation process, identify and support ERS transitions
  • Identify process improvement opportunities and continuously foster a culture of process excellence

Position Requirements

Formal Education & Certification

  • Bachelor's degree required (preferred Accounting) or equivalent work experience

Knowledge & Experience

  • 5+ years' experience in accounting or payables role
  • Prior management experience
  • Proven experience in a fast-paced, high volume work environment

Qualifications & Characteristics

  • Effective communication skills
  • The ability to research problem deliveries and find the solution
  • Ability to interact confidently with all levels of senior management
  • Outstanding oral and written communication skills

Work Environment

  • 40-hour on-site work week
  • Sitting for extended periods of time
  • Dexterity of hands and fingers to operate a computer keyboard, mouse, power tools, and other computer components
