General Responsibilities
Performs clerical and administrative support work for the Division of Continuing Education and Workforce Development, specifically for the Kids on Campus and the community development unit. Serves as the initial point of contact for Kids on Campus.. Assists parents in registering for and selecting Kids on Campus classes. Handles a high volume of phone calls on a multi-line phone system. Provides telephone coverage, clerical support, mail processing, course evaluation processing, word processing, Colleague data entry, Kids on Campus reports, and serve as a back-up support to other community development program reports. Under general supervision, this position also assists with instructor and vendor contracts, course file management, and new personnel document processing. Supports community development programs as needed. Assists the division with special projects
Work Performed
Responsible for data entry into Colleague for the Kids on Campus program.
Runs proofing reports to ensure the accuracy of course information and makes corrections as necessary.
Acts as the first point of contact for Kids on Campus parents via phone and email.
Provides customer service for Kids on Campus parents by assisting with student registration, transfers, drops, completion of required Maryland Department of Health forms, and making course recommendations for students. Responds to parent inquiries in a timely fashion.
Performs word processing and data entry assignments to include maintenance of various mailing lists and course and instructor information maintained in the current database.
Provides customer service through telephone coverage, answers multi-line telephones, and retrieves messages for Kids on Campus and the Community Development Unit.
Assists students, instructors, and the general public by interpreting college policies and procedures, and answering questions regarding registration, transfers, refunds, certificates, letters of attendance course schedules, and directions to campus classrooms/buildings.
Prepares course packets, delivers instructor materials, and prepares class signage for Community Development classes as needed.
Receives, sorts, and processes instructor contracts for Community Development classes as assigned.
Assists in processing student course evaluation forms to include preparing them for scanning and filing.
Maintains electronic file systems for Kids on Campus. Scans and organizes documents, including syllabi, printing, and attendance.
Communicates with instructors to obtain and supply printing for classes.
Responsible for Kids on Campus brochure community request fulfillment and various Kids on Campus mailings.
Enters Kids on Campus student consent form information into Colleague. Follows guidelines from the Maryland Department of Health for international Kids on Campus students. Use Colleague reports to track missing consent and medical forms, and follows up with parents on missing information. Updates student information in Colleague.
Prioritizes multiple project assignments, requiring a high degree of accuracy and efficiency, for Kids on Campus.
Supports community development programs as needed and assists division with special projects.
Assist with college and division initiatives.
Performs other duties as assigned.
Minimum Education Required High School or equivalent

Other Knowledge Required
* High school diploma required; AA degree preferred
* Two or more years in an office environment preferred
* Strong technical, organizational, interpersonal, and problem-solving skills
* Excellent customer service experience in a fast-paced office environment, with an ability to respond quickly and efficiently to a variety of situations.
* Ability to organize and prioritize multiple responsibilities.
* Skilled in Microsoft Office Suite, knowledge of Colleague system preferred.
* Ability to operate a wide range of office equipment including a computer, copier, fax, and audio-visual equipment.
OTHER REQUIREMENTS

  • Must be able to use good judgment in dealing with all levels of individuals within the college and the community.
  • Ability to communicate effectively, both verbally and in writing.
  • Ability to maintain strict confidentiality.
  • Regular attendance is a requirement of this job.


* Vacation time is not permitted during summer Kids on Campus sessions.
  • Performs all duties while considering the impact of any actions on the college's sustainability initiatives in the areas of environmental stewardship, social responsibility, and economic prosperity.
Working Conditions
* Stand for extended periods of time
* Be able to lift small boxes (approximately 25 lbs.)

As a participating member of the Maryland Retirement and Pension System, HCC offers two retirement options: The Pension, which requires a 7% employee contribution and The ORP, a 403(b) with a 7.25% employer contribution only. Employees in positions that do not require a bachelor's degree must participate in The Pension. Employees that possess a bachelor's degree and hold professional positions that require a bachelor's degree may choose to participate in either The Pension or The ORP.
