Job Summary

This position will provide administrative leadership to the Divisions of Developmental and Behavioral Pediatrics, Genomic Medicine and the MIND Institute Medical Director.

The objective of this position is to independently provide a high level of critical administrative, research, and academic coordination and support to the divisions and their Chiefs. This includes a combination of 16 faculty/physicians between the two divisions with multiple internal and external clinical and administrative responsibilities including coordination of required patient care needs, compiling division statistics, systems development, maintenance of clinical and academic and research information, and coordinating multiple academic seminar series, to include Hearts and MINDs and HGSS (Human Genomic Seminar Series).

Under minimal supervision, incumbent will prioritize tasks and respond to the needs of the faculty and staff; effectively communicating in person, by telephone and in writing; plan, organize, evaluate situations, make decisions, adjust priorities, work independently and as part of a team, and respond with flexibility to requests for assistance in problem solving and act as a backup to meet any additional administrative needs as assigned by supervisor. Finally, this position ensures that goals and objectives of the divisions are being met.

The incumbent is responsible for overseeing all areas of division functions, including purchasing, faculty coordination, and academic matters.

Minimum Qualifications

  • Experience working in an executive-level office environment and/or providing administrative support to include but not limited to: complex calendaring, coordinating logistics, travel arrangements etc.
  • Experience with financial transactions and reconciliations.
  • Experience researching, extracting, compiling, and summarizing information from a variety of sources to prepare reports and information clearly and concisely.
  • Computer knowledge and skills to apply various programs (word processing, Excel spreadsheets, databases) and software to accomplish assignments, and the ability to learn new software, as necessary.
  • Skills to analyze situations, define problems and/or objectives, identify relevant factors, formulate logical conclusions, and suggest alternative solutions.
  • Strong organizational and time management skills to establish goals, prioritize and coordinate multiple work assignments and deadlines efficiently despite frequent interruptions.
  • Editing and writing skills to initiate, compose, format, proofread, and carefully edit various professional business documents, such as grants, general correspondence, and meeting minutes.
  • Skill to interpret policies and procedures.

Preferred Qualifications

  • Experience using financial and student information systems.
  • Experience or skills to learn Electronic Medical Record software (EPIC) to research patient information and validate/document visits and procedures.
  • Experience working independently with minimal direction, to work under pressure, and to utilize good judgment in making decisions.
  • Knowledge of UCD Policy and Procedures, including but not limited to UCDH Medical Staff policies and Procedures, ACGME Policies and Procedures and JCAHO requirements.
  • Knowledge of medical terminology.
