About the College/Unit/Department
Part of the Division of Student Affairs, University Housing consists of nearly 2.8 million square feet of facilities and is home to more than 9,000 students. The department employs 220 full-time staff members, 21 graduate assistants and 565 undergraduate student workers. As a self-supporting auxiliary, University Housing operates a $59 million budget derived only from student housing fees and other non-state sources.
In support of its mission to provide comfortable, affordable and secure housing options where the academic success and personal growth of residents are encouraged and supported, University Housing engages staff members in competency-based training and students in curriculum-based engagement focused on community building, interpersonal skills, social awareness and responsibility, and well-being.

Minimum Qualifications
Requires at least a baccalaureate degree in the field. Please contact your Human Resources office for an evaluation of education/experience in lieu of the required minimum qualifications.
Preferred Qualifications

  • Master's degree in Hospitality Management, Business Administration, Higher Education, or a related field
  • 3-5 years of full-time work experience in housing, residence life, conferences services or related field with customer service, guest operations and supervisory experience
  • Experience in supervising, training and evaluating staff
  • Experience in developing operational procedures
  • Proficiency in housing management software, databases, and Microsoft Office Suite
  • Experience serving in an on-call capacity, assisting with crisis management and supporting students in distress

Position Summary
The Assistant Director for residential and conference services offers a unique opportunity for a dynamic and service-oriented leader to play a key role in supporting University Housing operations and enhancing the residential experience for students and conference participants. The assistant director will serve as a member of the Residential Programs and Services' leadership team while shaping the way University Housing provides quality customer service to residents, stakeholders, and conference guests. The primary functions of the Assistant Director is to oversee the daily operations of 13 residential desks for a system housing more than 9000 residents and facilitate the summer camps and conference program. The successful candidate will have an eye for detail and is committed to high-quality work.

  • Ability to manage multiple priorities, work independently, and collaborate with faculty, staff and others from a variety of university departments and community organizations.
  • Strong commitment to customer service and experience in a fast-paced, service-oriented environment.
  • Excellent communication, organizational, and problem-solving skills.
  • Working knowledge of Microsoft Office Suite and ability to learn housing management software and databases.
  • Interpret and apply policies and procedures.
  • Focus on and complete detail-oriented tasks.

Physical Demands

  • Safely operate a UGA state vehicle as necessary
  • Frequently walk-through residential facilities, which includes climbing stairs
  • Respond to crisis situations in various buildings that may require being present for long periods of time.

Supervision and Leadership

  • Select, train, supervise and evaluate seven full-time administrative specialists responsible for overseeing front desk operations, including key management, mail distribution, residence hall security support and serving as a general resource to residents.
  • Select, train and supervise the summer conference team, including but not limited to professional staff, summer interns and 15 summer conference assistants.
  • Indirectly supervise more than 350 student desk assistants by overseeing recruitment, training and accountability processes.
  • Actively promote and participate in the engagement, development & retention of each staff member.
  • Serve as a member of the Residential Programs and Services leadership team, contributing to strategic planning and policy development.
  • Represent University Housing in meetings, committees and special projects.
  • Work with colleagues to develop, implement, interpret and enforce unit and departmental policies, procedures and regulations.

Customer Service

  • Ensure high-quality customer service is provided to residents, visitors, and staff by overseeing the daily operations of the department's 13 desks.
  • Coordinate the check-in/check-out process and address guests' concerns for more than 65 camp and conference groups each summer.
  • Work collaboratively with other housing units and external stakeholders to ensure the effective transition of camp/conference spaces.
  • Regularly assess and improve desk procedures to enhance the customer experience, resolving concerns quickly and maintaining a secure atmosphere for all residents and guests.
  • Lead efforts to foster a welcoming and responsive environment where staff ensure interactions reflect the department's commitment to resident/guest satisfaction and development.

Administrative Processes and Operations Management

  • Establish administrative processes to ensure effective, accurate and secure desk operations, including staff coverage, training compliance, mail distribution, and key management in StarRez.
  • Oversee administrative processes related to conference housing, including check-ins/checkouts, damage reports, and accurate recordkeeping.
  • Oversee the development, implementation and on-going assessment of policies and procedures for unit's service desks, mailrooms and conference operations ensuring compliance with university guidelines and industry standards.
  • Performs other duties consistent with the purpose of the position as assigned.

  • Participate in a weekly on-call rotation that provides direction and support to live-on staff as they manage crisis situations in the halls.
  • Identify and respond in person to situations that have the potential to escalate.
  • Work with conference sponsors to manage emergencies or crises involving conference guests in a timely and professional manner.
  • Prioritize security in desk operations by regularly assessing potential risks, developing and implementing policies to ensure the safety and well-being of residents/guests.
  • Follow up on concerns that occur at the desk through personal contact with students, parents, faculty, administrators and other stakeholders to resolve problems, answer questions and clarify policies.
