Job Summary

This position will serve as the operations and accounting support to the Plastic and Reconstructive Surgery Division in the areas of finance, HR, IT and space planning. The position will support central divisional business operations including coordination of academic recruitments, processing of HR requests, financial reporting, and IT troubleshooting, and space planning. The incumbent will also provide as back-up executive administrative support to both the Chief and the Program Director of the Division of Plastic and Reconstructive Surgery and requires a high level of independence and autonomy.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $29.05 - $53.50 (Hourly Rate).

Department Description

The mission of the UCSF Department of Surgery is threefold: to develop the next generation of leaders in surgery; to provide outstanding quality clinical care that is cost effective, yet compassionate; and to make significant advances in scientific knowledge and clinical practice through basic and clinical research. The Department is comprised of multiple divisions and sections and our surgeons provide care at locations throughout the greater San Francisco Bay Area and beyond. Our Residents and Fellows also play a critical role in Department's success. The Department of Surgery Chair's Office is an extremely high profile, fast paced environment with a very diverse range of contacts and needs which require an immediate and accurate response, handled with confidentiality, and while staying compliant. The Chair's Office is responsible for management, direction and oversight of over 400 faculty (clinical and research), trainees and staff personnel.

Required Qualifications


  • BA/BS with a major in a related field and one year of experience in administrative analysis or operations research and / or equivalent experience/training.
  • Proficiency in MS Office applications (Word, Excel and Outlook). Demonstrated skill in word processing to prepare correspondence and other documents with speed and accuracy; Ability to learn how to utilize other programs as needed;
  • Solid communication skills including verbal and written and a basic understanding of medical science in order to support faculty with transcribing letters.
  • Analytical skill to collect, sort, and process qualitative and quantitative data and provide quality reporting to the Division Administrator and Division Chief.
  • Ability to work on multiple projects simultaneously and effectively prioritize tasks with competing deadlines.
  • Ability to meet deadlines in a timely an accurate manner with excellent attention to detail.
  • Demonstrated experience working independently with minimal supervision, using initiative and resourcefulness in performing job duties in areas of responsibilities and in the execution of additional duties as assigned;
  • Ability to handle sensitive materials and information with confidentiality and discretion;
  • Knowledge of accounting and finance, and the ability to interpret and prepare basic financial reports.

Preferred Qualifications


  • Experience coordinating Continuing Medical Education meetings;
  • Experience working with fellowship programs and credentialing
  • Experience working in academic medical setting and understanding best business practices
  • Knowledge of UC Financial systems such as MyReports, MyExpense, BearBuy, and HBS.
