POSITION CONCEPT:

Under limited supervision, provide administrative support to the station for all employees and contractors at this location. Perform a variety of administrative tasks including providing financial analysis and support for Management, updating spreadsheets, and monitoring, preparing and communicating on budgetary accounts monthly.

DUTIES AND RESPONSIBILITIES:



  • Handles non-routine external and internal calls, screens visitors, schedules appointments and meals to meet the needs of the Director, Management Team and Staff.
  • Performs more complex administrative duties to support the Director, Management Team and Staff, such as composing and preparing complex correspondence and other specialized assignments, including maintaining payroll for the department including: reviewing time for errors and coordinating corrections and close-out to SAP, updating the department on Payroll Department policies and procedures, and creating payroll reports for Managers.
  • Query, track and analyze monthly forecast/actual budget data in MS Excel for the station. Prepare monthly station reports for cost centers for O&M, blankets, specific projects, and other budgets; Investigate charges via SAP software. Assists in preparation of the monthly and YTD budget explanations for the Capital Lead and Business Planning Dept. Assist with creation of Purchase Requisitions and Purchase Order tracking.
  • Verifies, processes, and pays all invoices and check requests for the department. Coordinate invoicing activities with other departments within Energy Supply and outside service providers/contractors as applicable.
  • Performs forecasting which involves allocating charges to the correct activities. Each month, reassign incorrect charges to their appropriate activities for the station. Prepares budget explanations.
  • Assist station Director, Managers, Supervisors and other staff with other administrative and technical duties as assigned, including community service event coordination, report generation, correspondence, presentations, project support and other administrative/technical support and expertise related to Microsoft Office suite (Word, Power Point, Excel, Access), SAP, Workman.


EDUCATION:

Required: High School diploma or equivalent, with additional courses after high school strongly desired.

Preferred: Two year business or technical degree

EXPERIENCE:

Required: Minimum two years in the Administrative Specialist role or minimum of four years of related administrative experience in progressively more complex roles/assignments. A college degree from an accredited institution may be considered in lieu of up to 2 years of the overall related experience.

Preferred: Experience in a utility environment desirable. Knowledge, Skills and Abilities (KSA)

KNOWLEDGE/SKILLS/ABILITIES:

Required: Strong keyboard skills and knowledge of one or multiple TEC's budgeting processes and systems, WorkMan, SAP, MS Word, MS Excel, MS Access, MS PowerPoint, and other miscellaneous systems. Must demonstrate high level of integrity regarding personnel issues and other confidential information Solid administrative skills; High stress tolerance, teamwork, initiative, work standards, oral and written communication as well as planning and organizing skills Must have the ability to read and comprehend policies, procedures and instructions and to use logic and common sense to solve problems.

WORKING CONDITIONS:

Must be able to work overtime as needed to meet deadlines.

Occasional travel required, i.e., TEC sites, stores, meal pickup, etc.
