We are seeking an Administrative and Events Coordinator for Executive Education Programs! You'll be part of a team that supports the programs and provides administrative and event assistance. If you excel in a fast-paced environment and pay attention to detail, this opportunity is perfect for you.

  • Event Support: Assist with onsite events by reserving rooms, setting up event spaces, and providing coverage during events. You'll serve as the point of contact to greet students and handle any immediate needs or issues that arise.

  • Inventory and Materials Management: Order and manage office supplies and student materials. Print and prepare class materials, certificates, and other student-facing documents.

  • Logistics Coordination: Coordinate, package, and ship student materials for events, orientations, or admissions-related activities.

  • Catering and Travel Coordination: Support the Assistant Directors in procuring catering services for events and coordinating transportation for faculty or student groups as directed. Additionally, arrange travel plans, generate expense reimbursements, and handle the necessary filing and documentation for travel-related expenses.

  • Procurement Card Processing: Assist with procurement card processing and verification to ensure the timely and accurate handling of financial transactions.

  • Administrative Support: Draft correspondence, reports, and other documents as needed to support recruitment and administrative efforts.

  • Other Duties: Provide support as needed for other tasks related to recruitment or department operations.

You should demonstrate:

  • Strong Organizational and Planning Skills: Ability to manage multiple tasks with attention to detail and precision.

  • Team-Oriented Demeanor: Ability to work collaboratively with a diverse team of faculty, staff, and students, while maintaining a positive and supportive approach.

  • Excellent Problem-Solving and Reasoning Skills: Capacity to think critically, troubleshoot issues, and find practical solutions in fast-paced environments.

  • Communication: Excellent verbal and written communication skills, with the ability to engage with students, faculty, and other partners in a professional and friendly manner.

Qualifications:

  • High School Diploma or equivalent required; bachelor's degree preferred.

  • A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.

  • At least 3 years of administrative support, event planning, or related experience.

  • Prior experience in higher education or an academic environment is a plus!
