Job Summary

Job Summary

In support of the MC Associate Executive Director (AED) the Artistic Administrator helps to organize and implement the Mondavi Center's programming initiatives. Coordinate budgeting, contract negotiations and communication with inter-departmental staff to ensure professional productions from the program planning phase through performance day. Write University Performance and Lecture agreements and Deal Memoranda in accordance with University policies and procedures, manage master events calendar, and liaise with the California Franchise Tax Board (CFTB), University Accounts Payable, Business Contracts, and Risk Management staff regarding contract and/or tax withholding issues. Act as main point of contact for planning artist performances and delivery of contracted services. Collaborate with Mondavi Center's Artist Services unit and related staff responsible for artist hospitality, accommodations, and transportation, in accordance with terms of artist contracts, and ensuring adherence to University and Mondavi Center policies and budgetary guidelines.

Minimum Qualifications

  • Bachelor degree or higher in a related field and/or equivalent experience/training.
  • Experience in the preparation and management of performance and lecture contracts.
  • Experience interpreting entertainment riders to ensure fulfillment of rider and artist contract.
  • Experience using electronic scheduling/event software.
  • Experience working in a dynamic environment with constantly changing priorities while maintaining a high level of productivity.
  • Experience operating custom computerized systems for report development, creation of spreadsheets, and correspondence. Working knowledge of Microsoft Word, Excel, and Outlook in a Windows environment
  • Experience using organizational and time management skills to work on multiple projects with competing deadlines; to establish goals and workload priorities; and to work under pressure of deadlines in a demanding environment.
  • Interpersonal and communication skills to interacting with various constituencies from diverse cultural backgrounds and perspectives in a professional and discreet manner.

Preferred Qualifications

  • Education or experience and appreciation for the performing arts and lectures to effectively research and evaluate various art forms preferred.
  • Experience interpreting, explaining and applying University policies and procedures related to Business Contracts, catering, travel and reimbursement.
  • Skill to apply/interpret various laws, regulations, and rules with which the University must comply including: audit guides, State tax withholding regulations, and the filing of Bureau of Citizenship and Immigration Services applications.

Work Environment

Restricted vacation during peak periods. Work occasional overtime, varied lunch hours, evenings/nights, weekends and holidays as needed, usually on short-notice to meet operational needs. Attend performing arts events at the Mondavi Center that take place primarily in the evening and on weekends.
