Job Summary

Job Summary

Under general supervision of the Cal Aggie Alumni Association (CAAA) supervisor, serve to support the programs and services offered through the CAAA through data management and event support. Manage relationship with Advancement Services to ensure that more complex data pulls are delivered on time. Ensure that constituent activity such as event registration, attendance and volunteer engagement is properly recorded in the Advance Information System (AIS). Generate donor lists for the purposes of donor stewardship. Complete data reconciliation within Anthology/I modules to ensure that duplicate records are addressed. Provide recommendations on data maintenance improvement processes. Provide reports on a monthly, quarterly, and annual basis to assist in developing metrics. Provide event support including but not limited to assistance with sourcing event locations, securing both on and off campus vendors for events, preparing information and materials needed for events, and staffing events onsite as needed. Address incoming customer service requests for constituents in a timely and professional manner.

Minimum Qualifications

  • Bachelor's degree or an equivalent combination of education and experience.
  • Demonstrated technical experience in database management or software development in a multi-user environment, including the use of external electronic information resources and database systems.
  • Experience in database design and maintenance, including administering access, querying, and reporting.
  • Demonstrated experience coordinating with external vendors.
  • Demonstrated experience developing process summaries, analysis, and other documentation.
  • Analytical and critical thinking skills to anticipate and/or resolve complex issues and work processes.
  • Oral and written communications skills to disseminate complex information clearly and concisely while maintaining condentiality and using good judgment, tact, and diplomacy.
  • Proven ability to implement projects with minimal supervision while maintaining professionalism under pressure and meeting tight deadlines, ensuring excellent customer service support with internal and external stakeholders.

Preferred Qualifications

  • Experience supporting in-person and virtual events.
  • Awareness, knowledge, and skill in applying diversity, equity and inclusion to one's work. A profound belief in the value of a diverse and safe workforce and a commitment to achieve this goal through collaboration and team building, working cooperatively with a diverse group of department and campus constituencies.
  • Knowledge and experience in using Advancement Information System (AIS), Banner (student database), and other alumni/fundraising donor databases, along with experience in training others to use databases, web access, and related software.
  • Knowledge of relevant privacy laws, state, university, and federal statutory regulations governing electronic information and data security. Knowledge of University and departmental policies and procedure related to data management, cash handling, and condentiality.
