Purpose

This position supports the Steve Hicks School of Social Work Office of Professional Development. This includes adding vendors to DEFINE, making travel arrangements, issuing vendor payment requests and reimbursements, and tracking expenditures on Excel budget documents. Additionally, the position works within a team to support the overall needs of the department.

Responsibilities
  • Business Office - Process payments for SSW-OPD. Request/submit purchase orders from UT Market Point Plus for SSW-OPD. Process supply orders via UT Market and Amazon Business. Assist in submitting weekly financial deposits and tracking those deposits via CVENT event management software. Assist in preparing financial reports. Communications and Events Office Answer phones and monitor conference emails ensuring prompt response to clients from a variety of programs. Coordinate logistics and planning for small- and large-scale continuing education events.

  • Maintain event supplies and track orders as necessary. Event coordination includes interactions with external and internal clients and vendors, preliminary contract negotiation, event budget coordination, completion of all necessary event-related paperwork, and other tasks required for the successful execution of events. Continuing Education Submissions. Process and attend to occasional CEU application submissions.

Required Qualifications

Diploma High School or GED plus five years of administrative experience OR Bachelor's Degree plus one year of administrative experience. Demonstrated strong organizational, customer service, and prioritization skills required. o Demonstrated punctuality and professional demeanor. Experience coordinating events and meetings. An equivalent combination of relevant education and experience may be substituted as appropriate. Familiarity with UT financial and administrative systems and processes (e.g. DEFINE, purchase orders, travel coordination, etc.)

Preferred Qualifications

UT work experience preferred. Two years experience in a university academic setting. Demonstrated ability to work independently and as a part of a team and provide administrative support in a collaborative work environment supporting multiple projects and personnel. Demonstrated excellent written and oral communication skills. Experience with DEFINE modules on the UT Mainframe. Experience with CVENT event management software. Experience with Event Farm event management software. Experience with Qualtrics. Expertise in Microsoft Office suite, including at least Word, Excel, and PowerPoint.

Hourly Rate

$20.00 + depending on qualifications

Working Conditions
  • Attire: Business Casual

  • The office is a mix of business and business casual. Casual wear (shorts, tank tops, flip flops, etc.) is not desired.

Work Shift
  • Hours per week - 19

  • Work hours: 12/1/2024 - 3/15/2025 - We would prefer Tuesday-Thursday (8 am- 2 pm or 9 am - 3 pm). Once established, we would request consistency - not a weekly change of hours. There are several special events/conferences during the following dates (1/24) and (2/19-21) that would require some flexibility on behalf of the UTemp.
