Purpose

The Scholarships and Fellowships Manager facilitates College of Fine Arts student scholarships and fellowships to advance student recruitment, retention and success. The position, which reports to the Director of Admissions and Scholarships in the Office of the Dean, directly supervises two employees who support scholarship and fellowship administration.

Responsibilities
  • Scholarship and NRTE awarding. Award placeholder scholarships to admitted students identified by admissions staff. Match incoming and continuing students to scholarships for which they qualify. Regularly monitor awardee status to ensure they continue to meet scholarship requirements. Modify awards and coordinate with appropriate personnel to make additional scholarship awards as needed. Facilitate student awards related to travel, professional development, and additional special initiatives. Work with Associate Dean for Graduate Education, Graduate Coordinators and Advisers to allocate graduate student funding to units. Liaise with Office of Admissions, Graduate School and Texas Exes to manage external funding for COFA students.

  • Staff management and leadership. Hire, train, supervise and evaluate two (2) full-time employees: the Scholarships Coordinator for the Butler School of Music and Administrative Associate for Admissions and Scholarships. Train and disseminate timely information to stakeholders involved in or impacted by scholarship and student award administration, e.g., personnel in academic units and the college's business operations, development, and admissions teams. Coordinate key scholarship operations to maximize the student experience and strategic impact of scholarship practices. Liaise with Office of Scholarships and Financial Aid, Graduate School, Texas Exes and additional scholarship partners.

  • Scholarship application and committee coordination. Ensure that scholarship committee members receive training and follow all timelines, requirements, policies, and procedures related to scholarship selection and awarding. Set up committee structure within LASSO and modify as needed to facilitate candidate evaluation and awarding. Develop and manage the process by which currently enrolled College of Fine Arts students apply for scholarships. Collaborate with internal stakeholders to ensure applications efficiently meet the needs of decision makers. Facilitate applications using the Longhorn Awards & Student Scholarship Opportunities (LASSO) system.

  • Communications. Design communications in consultation with stakeholders and communications staff to promote scholarship opportunities, maximize the impact of awardee communications, and facilitate a positive student experience throughout the process. Utilize LASSO and resource email accounts to deliver scholarship messages to students. Regularly update college and department-based webpages related to scholarships and fellowships.

  • Database management and reporting. Create and run regular reports to facilitate scholarship and fellowships awarding and share strategic information relevant to stakeholders, such as account balances and award distributions. Maintain database of scholarships in LASSO, ensuring that individual scholarship names, descriptions and search configurations promote clarity for students. Utilize scholarship requirements to ensure that students who are considered for and awarded the scholarship meet donor and/or college criteria; liaise with Endowment Compliance and Scholarship Services representative to resolve any compliance challenges related to scholarship requirements. Onboard new scholarships when they are established.

Required Qualifications
  • Bachelors degree

  • Three years' experience in a manager/supervisory capacity

  • Four years coordinating or administering a program.

  • Experience supporting student scholarships or admissions processes at a college or university.

  • Demonstrated ability to successfully build, nurture, and balance professional relationships to achieve tasks.

Salary Range

$60,000+, depending on qualifications

Working Conditions
  • 5 days a week on-campus

Standard: Monday - Friday, 8am - 5pm

Retirement Plan Eligibility:

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
