General Notes

This position will support the university's Department of Computer Science (UTCS), which boasts a top ten ranking from US News and more than 6,500 students across all programs. This places UT among the most significant intellectual hubs for computer science research and education anywhere in the world. UTCS has a close relationship with Austin's thriving tech culture and works at the forefront of fields such as artificial intelligence, robotics, quantum computing, and cybersecurity. UTCS is seeking a Director of Finance and Administration who can bring exceptional managerial and accounting skills to help manage the needs and demands of a complex and growing academic organization.

Purpose

The Director is a key member of the Computer Science leadership team, responsible for overseeing the administrative, financial and human resources functions, in addition to working closely with the chief of staff and chair on developing and implementing strategies to meet the vision and mission of the department.

Responsibilities
  • Manages administrative functions for a large academic unit and organized research centers, including business affairs, accounting, human resources, and administrative staff (9 direct and 2 indirect reports). Provides a high level of support for faculty, staff, and students in the academic department.

  • Coordinates, prepares, and maintains annual departmental budgets. Tracks departmental fiscal activities and analyzes financial data. Prepares the departmental instructional budget projections for the College of Natural Sciences. Oversee and tracks departmental accounting functions, develops, and creates reports for the Chair, Chief of Staff, and Associate Chairs. Supervises and contributes to the creation and maintenance of budgets for special projects, including but not limited to the online master's programs and the Machine Learning Laboratory. Performs reconciliation of departmental accounts.

  • Coordinates the Purchasing and Accounting interface, facilitates processes and communications. Provide oversight for HR operations, including recruitment of faculty and staff.

  • Coordinates and prepares all documentation associated with faculty recruitment, prior approval requests, post-tenure and 3-Year Reviews, instructional leaves, visas and all other material required. Oversee and manages faculty appointments, endowments, and faculty fellowships. Coordinates and prepares annual college endowment reports. Oversee external and internal fellowships and awards. Oversee faculty recruiting and hiring process for tenure/tenure track and professional track faculty.

  • Acts as the principal expert for the department for the Handbook of Operating Procedures and Handbook of Business Procedures and all other college and university policies and procedures. Coordinates and prepares various university reports as required.Serve as liaison between department and other UT offices.

  • Supervises departmental grant administrators.

  • Oversight of on-boarding of new employees.

  • Acts as the electronic office manager - updates units and contact system, maintains electronic desks and views on the university accounting system. Attend university and college meetings to complete projects and keep abreast of new policies and processes. Represents the Chair or Chief of Staff on occasion as needed.

  • Other related functions as assigned.

Required Qualifications

Bachelor's degree. Progressively responsible experience managing business affairs in a university setting (faculty recruitment, accounting, human resources, etc.). Experience in budgeting and forecasting, accounting, reporting, internal control and compliance, and human resources. Excellent written and oral communication. Exceptional critical thinking skills. Proven discretion and ability to make independent, high-level decisions quickly and successfully. Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Graduate degree in business administration or accounting. Ten years of experience overseeing staff working on complex faculty and financial related tasks. Extensive comprehensive knowledge of UT budgetary, accounting, and faculty procedures. Extensive experience with budgetary and financial functions associated with state, endowment, and discretionary funds.

Salary Range

$130,000+ + depending on qualifications
