Job Summary

The Contracts and Grants Specialist will independently fulfill a wide range of responsibilities in pre- and post-award contracts and grants administration, including proposal preparation and submission, budgeting, forecasting, purchasing, reconciliations, finance, allocations, and accounting. The following describes the range of the job's responsibilities:

Under the general direction of the Director of Business Operations, the incumbent must seek and maintain an active working knowledge of the diverse and constantly changing requirements necessary to fulfill the requirements of this position: The incumbent ensures compliance in the critical areas of finance, accounting, contracts, grants, and human resources in accordance with university and sponsoring agency policies. The incumbent is responsible for pre and post award management including: assessment of financial commitments, resources available, and reporting and submission requirements required by internal and external organizations. Develops and implements accounting and financial practices and procedures to meet the requirements of its internal and external organizations. Predicts and allocates expenses including payroll distributions according to funder and UC guidelines and requirements. Produces and creates all necessary monthly, quarterly, and annual reports. Advises CPCS' constituents including funders, directors, and UCSF departments. Responds to audit requests from UCSF EMF and also keeps the CPCS Executive Director and/or the Director of Business Operations informed.

The California Poison Control System (CPCS or "System") provides poison control services to the nearly 40 million residents with a single toll-free national phone number providing access from any location in the state. This Contracts and Grants Specialist works for the Central Office of the System which is administered through the University of California San Francisco (UCSF) School of Pharmacy, Department of Clinical Pharmacy. CPCS operates from 4 UC-affiliated answering sites (UCSF/Zuckerberg SF General, UC-Davis Medical Center, Valley Children's Healthcare in Madera, and UC-San Diego) managing approximately 250,000 calls per year, utilizing the most up-to-date computerized information systems. Staff at all four Divisions are CPCS/UCSF employees. The System was designed and began operation in 1997 as a consolidation of six independently operating poison centers. It operates with the authority and support of the California Emergency Medical Services Authority and has been American Association of Poison Control Centers (AAPCC)-certified as a system since 2000. The CPCS Central Office, of which this position is a part, is located at 490 Illinois Street, in the Wayne and Gladys Valley Center for Vision, on the Mission Bay Campus, San Francisco. The position is eligible for a hybrid work schedule, pending a review of performance and telework agreement terms.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $81,000 - $121,600 (Annual Rate).

Department Description

The California Poison Control System (CPCS) is a 24 hour-a-day informational and emergency management advice hotline serving residents statewide in California. It is designated by the California Emergency Medical Services Authority and managed by the UCSF School of Pharmacy, Department of Clinical Pharmacy. CPCS operates from four UC-affiliated answering sites (UCSF/ Zuckerberg San Francisco General - ZSFG, University of California Davis Medical Center - UCDMC, Valley Children's Hospital, and University of California San Diego - UCSD) managing approximately 250,000 calls per year, utilizing the most up-to-date computerized information systems. The hotline service is linked to a translator service with the capability to handle multiple languages on a 24 hour per day basis.

Required Qualifications


  • Bachelor's degree in related area and/or equivalent experience/training.
  • Minimum 3 years of related experience.
  • Demonstrated knowledge of generally accepted accounting, fiscal, and reporting principles.
  • Demonstrated knowledge of effective grant funding processes, procedures, and techniques
  • Thorough understanding of research administration guidelines of Federal and non-Federal sponsors supporting research and educational activities, preferably in a university environment.
  • Thorough knowledge of applicable compliance requirements related to use of human or animal subjects in research, financial conflict of interest, biosafety, etc.
  • Ability to manage significant volume of transactions.
  • Ability to perform complex financial analysis and customized reporting.
  • Demonstrated competence in the use of spreadsheet and database software in financial analysis, fiscal management and financial reports.
  • Ability to maintain independent judgment; strong organization and communication skills; and a customer service focus across broad and diverse subject areas.
  • Strong writing skills in a variety of styles to draft persuasive text for a variety of audiences while ensuring adherence to funding sponsors' guidelines.

Preferred Qualifications


  • Demonstrated knowledge of UCSF specific grant management/finance processes.
  • Maintains current knowledge of compliance regulations in all areas of research administration.
