Job Description
ECU's Department of Surgery, Division of Trauma and Acute Care Surgery is currently seeking to hire a Federal Work Study student as an Office Assistant to assist the Trauma Fellowship Coordinator for approximately 10-15 hours/week (days can vary).

The Office Assistant will provide administrative support to the Surgical Critical Care and Acute Care Surgery Fellowship Program at ECU Brody School of Medicine. This role is ideal for a detail-oriented, organized, and proactive work-study student interested in gaining experience in a medical or academic setting. The position involves assisting with a variety of clerical tasks, managing program-related documentation, and supporting program staff and fellows.

Key Responsibilities:
1. Administrative Support:

  • Perform routine clerical duties including filing, photocopying, scanning, and data entry.
  • Assist with the preparation and organization of program materials and documents.
  • Manage scheduling and coordination for meetings, appointments, and events.


2. Communication:

  • Draft and proofread correspondence, reports, and other documents as needed.
  • Assist in the coordination of communication between program fellows and faculty.

3. Data Management:

  • Maintain and update electronic and paper files, ensuring accuracy and confidentiality.
  • Help with tracking and managing program-related data and records.
  • Assist with generating reports and summaries for program reviews and meetings.

4. Miscellaneous Tasks:

  • Perform other administrative tasks and special projects as assigned by the program coordinator or director.
  • Support fellow and staff needs, addressing issues or concerns in a timely manner.

Training and Supervision:

  • The Clerical Assistant will receive training on specific tasks and systems used in the Surgical Critical Care and Acute Care Surgery Fellowship Program.
  • Regular supervision and feedback will be provided by the Program Coordinator or designated staff member.

Preferred (Majors, Experience, GPA, etc.)
Skills:

  • Strong organizational and time-management skills; proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); effective written and verbal communication.
  • Attention to Detail: High level of accuracy and attention to detail in all tasks.
  • Confidentiality: Ability to handle sensitive information with discretion and confidentiality.
  • Interpersonal Skills: Ability to work well with diverse groups of people including fellows, faculty, and administrative staff.


Experience: Previous office or administrative experience is a plus, but not required.
