Job Summary

The Administrative Assistant provides high-level, executive support to the Associate Dean for Graduate Medical Education (GME) and the Director of GME, which includes administrative support, calendaring, travel planning, processing of reimbursements, workflow management, and completing special projects. In addition, the Administrative Assistant serves as a resource and liaison to the campus community and the public; conducts data collection and analysis as assigned; and staffs/participates in Office of GME activities, including events, annual trainee orientations, workshops, meetings, etc. The Administrative Assistant is required to use independent analyses and decision-making that often impacts faculty, residents, fellows, other stakeholders, and Office of GME colleagues. These responsibilities require the Administrative Assistant to assess and understand the significance of various activities in relation to each other; use excellent judgement in decision-making and prioritization; and employ confidentiality at all times.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $29.05 - $53.50 (Hourly Rate).

Department Description

The UCSF School of Medicine is one of the largest and highest quality sponsoring institutions of residency and fellowship training programs in the country. The Office of Graduate Medical Education (OGME) in the School of Medicine Dean's Office is responsible for the oversight, coordination, and general management of more than 220 ACGME/ABMS, non-ACGME, and non-MD residency and fellowship programs, which train approximately 1,700 trainees each year. OGME works in partnership with the program administrators and program directors in 21 UCSF clinical departments to ensure resident and fellow needs are met and programs are of the highest educational quality. In addition, OGME represents programs and their trainee interests at UCSF, UCSF Health, San Francisco Veterans Affairs Medical Center, and Zuckerberg San Francisco General Hospital and Trauma Center communities. Areas of responsibility and collaboration include program and institutional accreditation; resident and fellow well-being; resident and fellow credentialing, licensing, and appointments; educational technology; MedHub management; GME diversity, equity, and inclusion (DEI); patient safety and quality; events and curricular programming for residents, fellows, program directors, and program administrators; resident and fellow development; program director and program administrator development; communications; human resources; payroll; health insurance and other benefits; and all other areas that impact residents, fellows, and GME programs.

Required Qualifications


  • Bachelor's degree and/or equivalent experience/training
  • Minimum one year of relevant administrative experience
  • Proficiency with PC and Mac
  • Advanced knowledge of and experience with Microsoft Office Suite and Zoom
  • Ability to function independently in multiple areas of responsibility and problem-solving
  • Excellent written and verbal communication skills
  • Excellent interpersonal skills and the ability to interact effectively with sensitivity, tact, diplomacy, and confidentiality
  • Highly organized and advance ability to prioritize projects to meet the demands and deadlines of a fast-paced and dynamic work environment

Preferred Qualifications


  • A minimum of two years of UCSF administrative experience
  • Experience with MyExpense, BearBuy, and P-card
