Job Summary

The Student Services Analyst (Admissions and Records) plans, directs and evaluates daily student services operations for Admissions & Records within a One Stop Enrollment Services Environment with a focus on Transcript Evaluation and Prior Learning Assessment. This position will provide direct support and/or servicing the following stakeholders: prospective and current students, community organizations, college administrators, faculty, staff, high schools, and business/industry. The Student Services Analyst position coordinates all activities of the Admissions & Records office including adhering to Federal, State, County and District regulations, policies and procedures for Transcript Evaluation and Prior Learning Assessment. This role facilitates enrollment sessions and daily processing of enrollment documents in Dynamic Forms. The Student Services Analyst also collaborates and acts as a direct liaison with internal and external partners.

Essential Functions

40% - Provide support to the Director of Student Services to plan, organize and implement enrollment process and enrollment sessions. Serve as the lead transcript evaluator and coordinate all Prior Learning Assessments; reviews, collects and processes enrollment documents. Work closely with the Director to ensure that proper Record Management procedures are being followed. Develop and implement a Records Management Plan for Admissions and Records. Management all National Student Clearinghouse errors and inquiry, and Degree Verify. Serves as a subject matter expert, receives general supervision and is expected to prioritize work to meet deadlines and to keep the supervisor informed of any unusual or irregular issues that would impact achievement of a deadline, a District policy or procedure or in consideration of risk management. Keeps abreast of policies/procedures and communicates to internal and external customers through written and verbal communication; customer notification (both verbal and written); develops procedures including computerized and/or manual systems to support program requirements; prepares, processes and/or reconciles transactions, forms, paperwork and/or system data; monitors and ensures compliance with policies and procedures. Work includes reviewing program requirements, researching program activities and recommending enhancements to ensure program compliance; This position assists with the quality assurance controls for Enrollment Services. Performs fully-proficient professional level of student services work that requires independent evaluation and analysis of program requirements and judgment to select and apply standard techniques, procedures and criteria to resolve problems and make recommendations to facilitate change management.

40% - Provide leadership and oversight for all Prior Learning Assessment processes and Transcript Evaluation. Processes and evaluates transcripts, determines equivalencies of transfer credit Admissions and Records Office in person. Manage and all National Student Clearinghouse Reports and error processing. Manage the HCR 100 course enrollment. Manage Assists new and continuing students in person, over the phone, virtual chats and via email in all student services processes including admissions, registration, financial aid, and referrals to other related student services functions; responds to inquiries and solves problems in accordance with policies and procedures, maintains liaison with students, faculty and others in resolving student matters; performs enrollment program coordination, develops and implements enrollment plans for internal and external staff and industry partners. Performs various Admissions & Records liaison responsibilities with internal and external programs, committees, departments and organizations.

10% - Implements quality assurance to include regular review (e.g. spot-checks) to ensure accuracy of completed transactions, prepare/reconcile reports related to enrollment in order to comply with district and government requirements. Other duties as assigned. Runs and reviews various exception reports in SSRS, Cranium Cafe/ConexED, Customer Relationship Management (CRM), QLess, SIS (PeopleSoft), and other databases on a daily, weekly, and monthly basis until resolved; prepares/reconciles reports and statistical data related to enrollment services.

10% - Respond to enrollment verification requests, program plan changes, class permissions; documents requiring processing in Dynamic forms, MEID/password reactivation process. Answer to incoming calls and chats, maintain and update information in CRM/Customer Relationship.

Minimum Qualifications

Bachelor's Degree from a regionally accredited institution and two (2) years of student services or college teaching experience, or experience coordinating, administering, planning, or evaluating programs.

OR

An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation.

Desired Qualifications

A. Three (3) or more years of full-time work experience working in Student Services, working with apprenticeship and third-party partnerships
B. One (1) or more years of experience working in Student Information System (s)
C. Experience in using data for informed decision-making
D. Experience with (online systems, i.e. Google Suite, CRM, SIS, Canvas, etc.)
E. Experience working with a diverse population of students/staff

Special Working Conditions
  • May be required to travel or be assigned to all GateWay locations
  • May require some evenings or weekends
  • May require prolonged periods of viewing a computer screen
  • Must be in good standing and not be in default of a student loan, or in overpayment of student grant assistance
  • May be required to lift or carry up to #25 lbs
  • MCCCD does not sponsor individuals for any type of work visas
