As a part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University seeks an Online Student Services Specialist to promote our Catholic Franciscan mission and identity by providing full advising services to online students and support curriculum programmatic functions. Responsible for a variety of operations necessary to the successful program progression and graduation for online students pursuing certificates, undergraduate or masters' degrees.
Essential Duties and Responsibilities:
- Actively engage the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values and honoring the legacy of the founding congregation through transformative education, unity in diversity, leadership through service, integrating faith and life, and institutional policies.
- Onboarding new students and assisting them in their transition from accepted admission to registered student.
- Developing and coordinating orientation programming including creating any virtual live events.
- Facilitating a timely registration process for all new and current students.
- Communicating with and assisting students from time of admission through graduation
- Providing full academic advising services, assisting students in selecting courses each semester as well as mapping out future course work from program start to program completion
- Providing guidance and action on any add/drop/withdrawal registration issues that occur.
- Managing active student roster for programs supported.
- Working collaboratively with other staff as needed in assisting students with academic difficulty, including appropriate referrals and advising appointments to ensure successful progression through the program
- Working with teams across Marian University and other campus partners/stakeholders such as the Offices of the Registrar and Business Office, Financial Aid, program leads/chairs, and programmatic support and administrative duties.
- Collaborating with the online operations team on all curriculum developments and changes.
- Working with appropriate instructors and program members on any curriculum changes and ensure they are communicated properly to the appropriate stakeholders.
- Overseeing graduation audits for accuracy and on-time completion with the assistance of other qualified staff.
- Serving as a main contact for students, faculty and staff across the University to answer questions and provide support regarding online policies and procedures.
- Providing full advising services to online students, and ensuring plans meet all programmatic requirements. Work with online students to manage and resolve registration issues that include, drop and adds, and modifications with Registrar, Business Office, and Dean of Students.
- Complying with University and Online policies and procedures, ensuring all tasks are completed within University regulations as well as FERPA and HIPPA guidelines.
Required Qualifications:

Bachelor's degree from a four-year college or university is required; Master's degree is preferred. Experience working in non-traditional educational programs. 2-3 years working with academic advising.
Student Services Specialist should have:

Excellent written and verbal communication skills, as well as organizational, problem-solving, and conflict-resolution skills.

Strong time management skills, strong computer skills, and analytical abilities are needed for this position. In addition, the ability to:
- Demonstrate self-motivation.

- Articulate issues and policies, negotiate, foster consensus, and solve problems. Gather and evaluate data and make sound decisions.
- Handle multiple responsibilities and work in an environment of constant deadlines, frequent interruptions and pressure. Recall varied and complex information.
- Exercise critical thinking skills to determine the best use of resources for reaching departmental goals to support the university's mission.
Essential Functions:
Work hours necessary including hours on evenings and weekends to advise students and to perform job requirements satisfactorily on a regular basis. Manage absence from work in responsible manner to ensure service to students, work teams, and coworkers is still met. Comply with Marian University policies and practices and seeking clarification of them when necessary.
